About The Team:
We're looking for an energetic & highly motivated individual to provide administrative support to the Western Region leadership team by assisting with reports, ad hoc projects, and special assignments relating to client and employee events and activities.
About The Role:
Primary duties involve providing marketing support to the sales team in the West Region: Organizing external events, preparing ad hoc reports, creating external and internal marketing documents, providing support with data entry and report generation out of SalesForce and other proprietary Swiss Re Corporate Solutions databases. Additional duties surround providing administrative support to the West Region leadership team: organization of travel, internal meetings, completion of expense reports, and other projects as requested. The position is located in Los Angeles.
Essential Responsibilities:
• Organize marketing events and meetings, both internal and external. Including, but not limited to, securing a venue, selecting meals / gifts, creating invitation lists, managing RSVPs, managing to a budget, and where applicable, greeting guests upon arrival and ensuring smooth execution of the live event.
• Develop and maintain target lists from various sources.
• Track the results of various sales campaigns and strategies in the region.
• Manage the acquisition of marketing collateral including print and merchandise.
• Maintain multiple calendars; arrange travel as requested, meetings and conference calls, send meeting invitations, register visitors, reserve conference rooms and catering for Regional Leadership team.
• Prepare required requisitions for Travel & Entertainment expense reimbursements and any required Purchase Order requests, (engineering expenses, event expenses, etc.).
• Prepare external and internal reports and presentations using Word, PowerPoint and/or Excel as needed.
• Manage entries in all appropriate business tools such as: Outlook calendars, SalesForce, metric tracking spreadsheets, and department websites, as requested.
• Develop and maintain key contacts for Regional Leadership team.
• Able to adapt quickly to changing priorities and ad hoc projects.
About You:
• Professional with experience supporting senior executives (three year minimum).
• This candidate must be high energy with excellent organizational skills.
• Qualified candidate will have excellent verbal and written communication skills, be detail orientated with the ability to prioritize multiple requests and deadlines.
• Successful candidates will be comfortable working in a fast paced environment, have the ability to interact with internal & external clients at all levels and work effectively in a team environment.
• Strong working knowledge of Microsoft Windows, Excel, Word, PowerPoint, and Outlook.
• Some travel will be required
• Bachelor’s degree or equivalent, preferred.
