Role Overview:
• Exercises high degree of independence and judgment to support in all aspects of Executive Administrative functions including, but not limited to Outlook, office supply inventory, creating and editing reports, letters and presentations, answering phones, handling travel arrangements and calendaring in order to ensure quality, timeliness, and completeness of work.
• Work with OGC, Corporate Finance and AP in order to manage the timely and accurate distribution of settlement checks by completing out miscellaneous loss forms and check requests, obtaining all appropriate approvals and maintaining records.
• Handle requests to stop payment and/or make recommendations to seek payment if check bounces.
• Responsible for handling the ICFR fines including records management and well as proper processing via the Treasury and AP.
• Support Agency Standards WNY Budget and Zone Agency Standards budgets- Forecast/ Project headcount, promotions, meeting expenses, technical expenses. Analyze, explain and report variances for five cost centers.
• Responsible for the department's P-card, paying for purchases and vendor services. Balance each item to the appropriate department G/L code.
• Manage coordination of all departmental training meetings- Create project plans for all department meetings and manage meeting preparation to ensure timely and accurate execution of meetings. Manager vendor negotiation and selection. Review expenses, handle unusual expenses and requests.
• Respond to agent inquiries using experience, judgment and precedents (e.g. agents that receive separation letters).
• Support Department Portal presence.
• Act as departmental security liaison.
• Support security background checks for agents and managers as needed.
• Work directly with field ASMs and agents to resolve Supervision deficiencies noted during the Supervisory Interview process.
• Work directly with agents to ensure full compliance with Social Media regulation including profile completion and broken tokens within Hearsay (separation from our compliance system).
• Act as a HO Help Desk to Agents and Managers in relation to Social Media.
• Coordinate and facilitate agent suspensions related to compliance issues.
Qualifications:
• High School/GED
• Minimum of 5+ years of relevant experience
• Strong Computer Skills including Excel and PowerPoint.
• Ability to create and edit PowerPoint presentations, and ability to create and manipulate Excel spreadsheets.
• Ability to work with code to post (new hire bios, field news, updates, etc.) on the Agency Standards Consultant website.
