Responsibilities
• Receive, greet, and register clients, guests, vendors, visitors, and associates in a professional, courteous and cordial manner
• Contact person being visited, announce visitor’s presence, and arrange for escort if necessary
• Answer the incoming telephone lines quickly and professionally, directing the calls to the correct person or department
• Arrange transportation, travel, and lodging services as needed
• Schedule the conference rooms and arrange hospitality services
• Monitor and maintain the cleanliness and appearance of the reception and conference areas and break room, and ensure adequate levels of supplies
• Processing incoming and outgoing mail and deliveries
• Handling facsimiles
• Other duties the Receptionist may perform could include:
• o o Types, proofs, assemble documents as needed
◦ ◦ Processing cash receipts
◦ ◦ Entering firm expenses
◦ ◦ Monitor/Purchasing office supplies
◦ ◦ Ordering and/or distributing promotional items
◦ ◦ Scheduling A/V equipment and/or setting up as needed
◦ ◦ Processing maintenance requests
◦ ◦ Assisting other administrative staff with overflow work
◦ • Qualifications
• 0-3 years of job related experience
• Requires a High School Diploma, or an equivalent combination of education and experience
• Experience with a multi-line telephone system, and front line customer contact
• Operation of office equipment to include a multifunction copy machine, personal computer, facsimile machine, and a 10-key adding machine preferred
• Experience in a professional service work environment preferred
• Ability to plan, prioritize, and organize work effectively
• Ability to balance many projects simultaneously
• Ability to work under pressure and time deadlines with great attention to detail
• Ability to work with a diverse group of clients and employees, and maintaining a positive attitude towards work, the firm, and the team
• Ability to present a professional appearance and demeanor
• Ability to be flexible with scheduling to meet workflow demands
• Requires clear, concise verbal and written communication skills, and accurate grammar usage
• Proficient in Word and Outlook
• Ability to use Excel preferred
