The Receptionist will provide superior customer service by greeting all visitors, vendors, and employees to the Netspend Corporate office and answering/directing all incoming calls in a professional, friendly, and welcoming manner. This position will also handle additional administrative and facility related duties.
Responsibilities:
• Greet visitors with a professional and friendly attitude – ensure proper sign in/sign out and provide appropriate building access badges
• Assist visitors with any needs they have during their stay (parking, coffee, beverages, directions, hotels, restaurants, etc)
• Keep reception area and front desk clear of clutter to maintain a clean and simple appearance
• Process and distribute USPS mail and UPS, FedEX packages and maintain shipping supplies
• Prepare and send overnight mail packages & arrange courier services
• Keep beverages stocked & replenish 2 conference rooms’ refrigerators throughout the day
• Maintain copy machines (fill paper & toner) and call for service when needed
• Order office and kitchen supplies on a bi-monthly basis or as required
• Communicate with office cleaning crew to assure a thorough and consistent job is being done
• Maintain office systems operations (HVAC, electrical, warranty calls, etc) and contact vendors for maintenance when needed
• Event planning and support
• Place lunch orders for meetings as requested
• Assist Netspend employees, as requested
• Answer and route incoming phone calls to appropriate individuals
• Deal with high volume of incoming emails
• Track and maintain all contractor/temp/partner badges issued using various spreadsheets
• Monitor security tablet to ensure company security policy is adhered to
• Retrieve, sort and disburse US Mail from P.O. Boxes and physical address daily
• Provide assistance to the Recruiting team with the interview process, candidates, and new hires
• Administer and manage the parking pass/permit process working closely with the parking garage and property management firm
• Obtain parking passes from off-site vendor locations
• Manage the day to day relationship with the property management firm and onsite security reporting any incidents
• Update Visitor schedules/calendars on Outlook daily for security
• Book conference rooms for all departments as needed
• Process terminations, coordinating with building manager, Netspend Facilities, HR, and internal management
Skills/Education/Experience:
• Strong PC skills to include Microsoft Office Suite: Word, Excel, PowerPoint, and Outlook
• Exceptional telephone abilities
• Superior customer service skills
• Ability to establish priorities and be proficient in a busy environment with frequent interruptions
• Strong attention to detail
• Professional, outgoing, friendly demeanor
• Strong communication and organizational skill
• Must have the ability to problem solve
• Ability to work independently and in a team-oriented environment
• High School diploma or GED required
