As an Administrative Assistant based in Los Angeles, you will be responsible for supporting two senior leaders as well as having additional project responsibilities to include team support. As a valued member of the team, you will be responsible for managing busy calendars, coordinating complex meetings, extensive travel plans and providing project support.
Responsibilities:
• Extensive calendar management; scheduling for two senior leaders across multiple business groups (NAD, RPS)
• Scheduling/coordination of details for meetings with internal and external contacts including logistics and materials preparation
• Manages complex travel arrangements
• Completing and tracking expense reports for senior leaders and team
• Creates and maintains lists, files and databases to enhance efficiency and productivity.
• Serves as point of contact for multiple areas: ARMS requests, Office Service’s needs, and technology support
• Process internal and external (third-party) disbursement authorizations
• Create and maintain department OneNote / SharePoint site and documentation of materials for team
• Complete standard and recurring industry provider Request For Proposals (RFPs) and Dealer Questionnaires
• Facilitate alliance fund family contracts and agreements to ensure collection of signatures/approvals with inter-company departments.
Qualifications:
• 2-3 years of previous administrative experience, supporting at least one senior executive.
• Previous experience in financial services strongly preferred
• Ability to organize and prioritize multiple tasks in a timely manner
• A self-starter with excellent judgment, exceptional communication skills, strong customer service and professionalism
• A strong problem-solver with initiative to work creatively and support managers proactively in a team environment
• Experience with electronic calendaring (Outlook preferred) and coordinating complex travel arrangements
• Ability to compile data and complex information into useful summaries, reports, and presentations
