Kearney & Company is currently looking to hire a Senior Proposal Coordinator. The Senior Proposal Coordinator would assists with all administrative aspects of proposal development, ensuring security and integrity of all proposal documentation. Supports all phases of the proposal development life cycle, from initial outline creation through final proposal production and delivery. Works closely with and coordinates efforts of contributors across the company (e.g., Executives, Proposal Managers, Proposal Writers/Subject Matter Experts, Business Development Leads, and Editors) with an eye for process efficiency and best practices.
Required Skills:
• Assists proposal management with compliance matrices/outlines to insure compliance with RFP formatting and structure requirements; updates outlines based on amendments and feedback from technical teams
• Creates and maintains proposal support files, including but not limited to reviewer matrices, comment logs, past performance information templates, résumé templates, and questions templates
• Assists with preparing review drafts by consolidating inputs and checking for compliance issues
• Handles all areas of physical proposal production: Reviews RFPs for proposal production guidelines; prints, binds, and packages final proposals; and coordinates delivery (i.e., hand delivery or courier), ensuring the customer receives the proposal before the due date/time
• Develops Proposal Information Sheets that summarize RFP requirements in an at-a-glance format
• Maintains and updates proposal templates, boilerplate (e.g., narratives, graphics, and customer kudos), and corporate résumés
• Assists with providing quality assurance checks on proposal documents to ensure that all RFP requirements are met
• Maintains past performance information and boilerplate database: Creates new entries; updates existing files when new information is available; formats past performance information into Government templates (as needed for proposals); and maintains log of all past performance information
• Monitors and adheres to proposal deadlines (both internal and external). Communicates deadlines and status of ongoing work throughout the process as needed
• Schedules and attends a variety of meetings, takes notes as necessary, and tracks assignments
• Maintains and updates the Proposals Department Style Guide
• Serves as the SpringCM and SharePoint proposals administrator: Establishes file access to ensure security and integrity of all proposal documentation; maintains content library and folder structure; archives submitted proposals and related documentation; and assists in developing internal processes
• Reviews submitted proposals for content and graphics that could be reused in the future; saves this information in an easily searchable format and location
• Assists with graphic development process
• Monitors inventory of proposal-specific office supplies and requests orders when stock is low
• Serves are primary POC for searching for and providing proposal content-based requests (e.g., boilerplate, previous proposals, etc.)
• Miscellaneous other duties as directed by Proposal Managers or Director of Proposal Management
Required Experience:
• 4 years of professional proposal coordination experience
• Bachelor’s degree, preferably in Communications, English, or related field
• Detail-oriented; meticulous organizational and time management skills
• Ability to manage simultaneously occurring tasks
• Excellent interpersonal, communication, and team-building skills
• Sound business ethics, including the protection of proprietary and confidential information
• Ability to work with all levels of internal staff, from administrative support to senior executives
• Excellent problem-solving skills, with the ability to analyze situations, identify existing or potential problems, and recommend solutions
• Superior interpersonal skills, including courtesy, professionalism, and a “do whatever it takes” attitude
• Ability to work effectively under pressure and within stringent deadlines
• Flexibility to work evenings and weekends as needed during busy periods
• Expert-level knowledge of Microsoft Word
• Experience using content management systems (specifically Salesforce, SpringCM, and SharePoint)
• Working knowledge of other Microsoft Office applications (specifically Office 365)
• Ability to obtain and maintain a U.S. security clearance
