Summary
We are seeking a full-time Senior Administrative Assistant to join our team in our Nashville location. This position will provide advanced level support to field leaders within the Regional Financial Office (RFO). In addition, this position will provide recruiting assistance and support for Financial Advisor candidates. Administrative Support
• Provide day-to-day administrative support, including: email and calendar management, running of sales reports, expense reports and other key responsibilities as assigned
• Prepare meeting agendas and updates, maintains meeting notes, and arranges for implementation of action and follow-up items
• Prepare presentation materials and spreadsheets to produce high quality reports and presentations
• Responds to information requests, and compose correspondence on a regular basis (often of a confidential nature)
• Additional administrative support to the RFO as determined
Recruiting Support
• Posts positions on all applicable job boards, collect and review resumes against minimum qualifications, schedules and organizes interviews with suitable candidates, conducts initial screens of candidates and assists in preparing interview questions for Front Line Leader, may do some phone screening, handles communication with the candidates as well as maintains good relationships,
• Manage multiple applicants in the applicant tracking system (Workday), moving candidate through stages
• May assist new hires with the completion of appropriate employment/contracting forms.
• Provides cold sourcing (e.g. LinkedIn, other online/virtual) and other support to the recruiting process as needed.
• Manages recruiting process and weekly capacity reporting for RFO.
Qualifications
• 3-5 years of administrative experience, required
• College or two-year degree from business or vocational school, preferred
• Demonstrated experience in managing, prioritizing, and organizing multiple projects at one time
• Proficient experience with Microsoft Office Suite, Social Media (LinkedIn, Facebook, etc.), and Salesforce (desired)
• Ability to maintain the highest ethical, confidential and professional standards
• Demonstrated ability to partner with key stakeholders across the region to achieve stated goals
• Excellent communication skills, including, written, presentation and interpersonal skills
• Demonstrated sound decision-making skills
