Responsible for overall coordination, status reporting, financial reporting, and ownership of a successful implementation. Responsibilities include managing multiple projects simultaneously, ranging in complexity from simple to moderate. Establishes and implements FINASTRA PMO and PMI methodologies to ensure projects are delivered on time, within budget, adhere to high quality standards and balances the needs of clients and FINASTRA. Negotiates and communicates changes regarding the scope, budget or schedule of the project; acts as the final decision-maker during all stages of the project life-cycle. Knowledge of project management methodologies and tools are essential for success.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Project Controls
• Collaborates in the development of the scope of projects.
• Defines the goals and objectives of the project and individual team member’s roles and responsibilities for the duration of the project.
• Manages multiple projects ensuring that they will complete on time and within budget and that the solution aligns with/meets the business objective.
• Coordinates the daily/weekly project team assignments and monitors progress against the work plan to assure that objectives are met within the prescribed time, cost, and quality measures.
• Ensures appropriate levels of controls are developed with the client’s Sponsor.
• Ensures latest versions of documents from the Standards Repository are used and defined processes within FINASTRA are adhered to.
Project Change Management
• Identifies/proposes changes, determines potential impact(s), and recommends contingency/mitigation strategies.
• Ensures the project schedule is baselined and changes are documented in Project Change Request (PCR) or Key Decision as the situation dictates.
• Updates and re-baselines the project scope and schedule to reflect approved changes.
• Ensures all changes are communicated internally and externally to appropriate stakeholders in a timely manner.
Quality Assurance
• Ensures the quality of the project through continuous monitoring and controlling of the scope/schedule throughout the implementation process, adhering to proven PMI processes and procedures.
• Reviews project deliverables to assure results align with the methodology and supports project objectives.
• Ensures the project audit checklist is adhered to and the project collaboration site provides an accurate and detailed historical reference of the project.
Financial Management
• Tracks project Key Milestones to ensure project actuals/variances are forecasted and reported accurately.
Risks and Issues Management
• Works with project team and stakeholders to identify, track, and manage risks/issues.
• Documents mitigation/contingency/action plans and escalates to management when necessary.
• Communicates risks/issues including all potential/realized impacts to project stakeholders.
• Proactively ensures early identification of risks and issues through probing analysis.
• Identifies and documents the exposure of risks and communicates to the necessary internal/external stakeholders.
Resource Management
• Requests resources in a timely manner based on the requirements of the implementation.
• Ensures project schedule is updated with assigned resources and proper resource allocation.
• Continually monitors progress of tasks/activities, motivates team members to complete their work on-time, as well as provide mentoring and coaching as required.
• Resolves issues regarding project performance, one-on-one with the project team members.
• Escalates unresolved or ongoing performance issues to the appropriate functional manager providing specific examples and details on the impact to the project.
• Manages stakeholder relationships; Initiates team building and collaboration with internal/external team members.
Communication
• Identifies internal and external stakeholders and communicates roles and responsibilities.
• Develops a Communication Plan and distribute to all team members (including but not limited to: status calls, project updates, sponsor updates, etc.)
• Sets clear expectations and holds individuals accountable for their responsibilities on the implementation.
• Serves as the primary interface with stakeholders and the project sponsor to ensure objectives and customer-focused requirements are defined and aligned with company direction and communication is consistent.
• Facilitates project meetings ensuring each has an agenda, supporting documentation is provided and action items and responsibilities are documented in the meeting minutes.
• Provides weekly status updates to key stakeholders as defined in the Communication Plan.
• May participate in Executive or Steering Committee Meetings.
Mentoring and Training
• Educates team members in project management principles, methods, processes and tools.
• Maintains professional certification and remains in good standing.
• Responsible for ensuring the project team utilizes the tools in implementation processes.
• Other duties as assigned.
Supervisory Responsibilities
• This position does not have direct reports. Will supervise project team members to achieve maximum results within a project.
QUALIFICATIONS REQUIRED:
KNOWLEDGE, SKILLS AND CORE COMPETENCIES
• Knowledge of Financial/ Software Industries and/or Technical Implementations required.
• Proficiency with Microsoft Office applications, including knowledge of SharePoint and Microsoft Project.
• Experience with NetSuite OpenAir a plus.
• Knowledge of PMI project management methodologies and tools.
• Demonstrated ability to complete projects on time, within budget and approved scope.
• Ability to manage multiple projects simultaneously within a technical environment.
• Effective leadership skills, including the ability to develop and motivate high-performing and diverse teams.
• Proficient in defining stakeholder communication requirements; develop and deliver Communication Plans.
• Ability to communicate clearly and professionally, both verbally and in writing.
• Ability to deliver project status updates and presentations to technical/non-technical audiences and to all levels of management.
• Ability to develop and deliver project presentations.
• Must have effective problem solving, conflict management, meeting facilitation and negotiation skills.
• Ability to accurately estimate project activities and control costs/scope while maintaining quality.
• Proficient in process and standards development, implementation and continuous improvement.
• Ability to identify, manage and mitigate risks.
• Exercises excellent judgement, taking proactive measures with sound decision-making ability.
• Strong organizational, analytical problem-solving, and conflict resolution skills.
• Takes initiative; demonstrated passion for customer service excellence.
EXPERIENCE
• 3-6 years experience in Project Management or similar experience.
• 3+ years experience leading technical and non-technical resources.
• Experience assisting teams with identification of action items, tasks and activities, milestones, deliverables and tracking progress.
• Experience in successfully working within a matrix organization structure preferred.
• Working knowledge and practical experience within the financial services industry preferred.
• Experience for identifying and tracking financial triggers.
EDUCATION / CERTIFICATIONS
• Bachelors Degree - Business or Technology or equivalent experience.
• Must have PMP Certification.
• Six Sigma experience is a plus.
