Position Overview
Under supervision, performs complex, highly responsible and confidential secretarial and administrative support activities to executive level management.
Responsibilities
• Performs complex secretarial and administrative support duties which include, but not limited to; creating/preparing general to complex correspondence and spreadsheets, preparing varied and complex reports, creating/designing general to complex PowerPoint presentations and presentation materials, scheduling and maintaining complex schedules in Outlook calendar, and overseeing and coordinating internal and external events.
• Performs advanced administrative support duties which include, but not limited to; coordinating travel and accommodations and coordinating/ scheduling meetings and conference calls.
• Handles executive-level internal and external communications which includes; handling incoming phone calls, returning phone calls, responding to voice-mails, managing incoming e-mails by forwarding and responding to e-mails as appropriate, and creating and mailing letters and memos on behalf of Executive.
• Acts as project manager on assigned projects and provides administrative assistance as needed on other special projects.
• Performs department records management duties (electronic and paper), including organizing, retrieval, archiving and storage.
• Oversees and performs office management duties
• Performs general administrative support duties which include, but not limited to; opening and distributing mail, preparing outgoing mail, filing and file maintenance, and copying, faxing and scanning.
• Maintains regular and predictable attendance
• Performs other duties as assigned
Requirements
EDUCATION AND EXPERIENCE:
Required:
• High school diploma, GED or equivalent experience
• 7+ years secretary and administrative experience
Preferred:
• Associate’s or Bachelor’s Degree
• Experience in insurance/reinsurance
SKILLS AND ABILITIES:
Required:
• Advanced Word, Intermediate Excel and PowerPoint skills
• Basic math skills
• Ability to maintain a high level of confidentiality
• Ability to work independently
• Ability to be flexible when needed, take initiative, and demonstrate accountability.
• Intermediate oral and written communication skills demonstrating ability to share and impart knowledge.
• Ability to quickly adapt to new methods, work under tight deadlines and stressful conditions.
