Roles & Responsibilities
• Attend and facilitate weekly plan and review meetings as requested
• Maintain status tracker and provide weekly status updates for tasks related to active projects, initiatives, and work orders
• Monitor, schedule, complete work order requests in 360
• Trend work order data and schedule / facilitate quarterly team review of work order performance results for the region
• Submit invoices for payment, receive, confirm and distribute vendor checks weekly
• Research and resolve any past due payable accounts as needed
• Maintain and update vendor contact information internally and within client’s financial system.
• Process security clearances and dock reservations daily and distribute to key stakeholders
• Coordinate vendor activity
• Actively track and report vendor performance metrics
• Host quarterly performance reviews with key service providers
• Develop and implement corrective action plans in response to vendor performance concerns
• Coordinate and host annual vendor training on client house-rules
• Seek cost-savings and report quarterly
• Manage logistics of client communication campaigns: posters, e-mail distributions, digital signage, tabling events, etc.
• Assist with the execution of on-site events
• Manage badging and access requests for vendors
• Assist with e-space audits
• Provide Facilities audit support (engineering, e-space, finance, etc)
• Develop, implement, and share best practices
• Provide back up for Coordinator positions
• Coordinate and execute weekly janitorial and café inspections, report findings, and create action plans to address deficiencies
• Coordinate and execute detailed facility inspections, report and archive findings, and provide input for operating budget and multi-year budgeting exercises
• Facilitate review of quarterly facilities inspection findings with extended team and develop action plan to address opportunities. Archive results quarterly.
