Job Description Summary:
The Administrative Assistant will assist the Executive Chef with daily administrative functions. In addition, this person will act as the liaison within the department and all other departments in the organization.
QUALIFICATIONS:
EDUCATION, KNOWLEDGE, TRAINING, & WORK EXPERIENCE
High school graduate or equivalent. Two years experience in the hospitality industry or in a professional, office environment. Computer literate with above average proficiency in Microsoft Word, Outlook, Excel and Power Point. Excellent oral and written communication skills. Pleasant telephone manner. Detail oriented and ability to handle multiple tasks at once. Ability to make independent decisions. Good organizational and follow through skills.
ESSENTIAL FUNCTIONS:
Maintain a professional demeanor at all times and maintain work area in a professional, orderly manner. Assist Department Manager in the daily responsibilities in all areas of the department. Distribute monthly/quarterly roll-up reports. Answer telephone for Manager in a prompt and professional manner. Take calls for Manager in their absence when needed. Handle calls from operations vendors and route as appropriate Sort incoming correspondence to the Manager. Organizes and maintains file system, correspondence and other records. Arrange conference calls and set appointments as requested. Keep Manager’s calendars and contacts up to date. Collect information and prepare various monthly reports. Coordinate, prepare for and assist with weekly and monthly meetings. Take minutes, prepare and distribute minutes. Handle inquiries. Complete paperwork, route for signatures and distribute. Make recommendations for mailroom, fax machines, copy machines and equipment and maintenance agreements. Order office supplies as needed. Maintain confidentiality. Makes reservations for Manager and handles travel arrangements as directed by supervisor and in accordance to company policy. Work on special projects as requested by the Manager. Create forms for various departments as directed by Manager. Communicates and coordinates all pertinent information with other departments. Complete other projects as assigned by supervisor.
MARGINAL FUNCTIONS:
Assist in daily administrative duties when help is needed. Help cover breaks for the receptionist. Assist in any other areas as needed.
Provide assistance to any employee using the copy machines, fax machines or mailing equipment.
