Position description
Currently, we are seeking an Assistant Facility Manager to join our Porsche Cars North America team in Atlanta, Georgia.
Position Summary:
• Provide site leadership and superior client service by managing the day to day facility operations primarily at the Porsche Cars North America and other assigned facility locations. Serve as the primary point of contact for facility related concerns; cultivate relationships with key client stakeholders.
• Manage all assigned building service vendor partners to ensure all contractual obligations and performance metrics are consistently achieved. Ensure that all facility related services are delivered in an efficient, timely, and effective manner.
• Work with the building engineering team on needed building maintenance and assist with required purchase orders for vendors. Foster a collaborative and team oriented environment.
• Develop the client annual Operating budgets for the facility location and prepare accurate and timely monthly reports, financial variance reports and assist with Quarterly Business Reviews and Annual Report. Ensure client related vendor operating expenses are managed to budget.
• Champion the development and implementation of JLL Best Practices and Innovations. Perform periodic review of JLL Best Practices to import applicable enhancements to the account and operation.
Essential Functions:
• Directly support the Account Lead and Management team with on-going facility and team related responsibilities, including, but not limited to:
• Main point of contact for 360 Facility administration and will be responsible for Corrigo migration and CPA duties.
• Ensure client satisfaction with client Facility Management by providing a seamless interface into client facility operations organization; demonstrate leadership, responsiveness and creativity
• Constant interface with the client stakeholders and customers that patronize the site
• Utilize JD Edwards E1 accounting system to enter Purchase Orders(PO), manage goods receipt and open POs, preparing list of services for accruals, vendor follow up to ensure timely delivery of invoices with all backups or service tickets or packing slips and managing PO aging report.
• Oversee the development and management of the capital and expense budgets
• Support the Account Lead in the implementation of short and long-term projects for the client project
• Develop and implement the annual management plan; accomplish key performance indicators as identified by client
• Oversee the appropriate monthly/quarterly/annual reporting appropriate for the client
• Maximize utilization of suppliers, preferred vendors/contractors and the level of spending with Minority/Women owned Business Enterprises (M/WBE)
• Ensure compliance with Jones Lang LaSalle minimum audit standards
• Share best practices with the assigned owner of best practices for Jones Lang LaSalle Facilities Management
• Oversee the development and manage the detailed, zero-based annual operating budgets for each building in your territory
• Assist in developing monthly/quarterly variance reporting on all operating budgets for each property on a timely basis
• Assist with the development and implement the annual management plan for the buildings within the area
• Help to develop and approve the annual capital plan for each building, interfacing closely with the client representative
• Develop and implement innovative programs, processes and producers that reduce short and long term operating costs and increase productivity. Work closely with the Account Lead, and the client
• Coordinate discussions with each vendor or supplier regarding goal setting, performance criteria, performance review via regularly established weekly or monthly site audits checklist
• Manage the negotiations of new and the maintenance of existing contracts
• Provide the lead role to monitor customer satisfaction and increase it
• Source local services and goods needed to perform day to day operations through 3rd party suppliers. This includes writing contract, obtaining necessary vendor set up forms and reviewing certificate of insurance for compliance.
• Collaborate with account Sourcing team on national and regional sourcing opportunities to define scope, coordinate supplier walk-through, and manage national and regional supplier performance at property level.

• Strong presentation skills
• Knowledge of real estate, furniture, accounting and building systems helpful
• Excellent verbal and written communication skills

Minimum Required Education:
• Undergraduate bachelor’s degree preferred in real estate, finance or management.
• Minimum of three (3) years industry experience in Facilities Management within a corporate office environment.
