The Human Resources Specialist, Workforce Analyst will provide administrative and operational support for the contingent workforce throughout First Republic Bank.
They will assist the various Business Units with onboarding, extension, and separation of non-employees. The position will work closely with Information Services, Admin Services, Vendor Management, and HR teams to ensure accuracy of data across systems and confirm proper documentation exists between staffing agency and First Republic Bank. Additionally, this position will help process new hires, transfers, terminations, and employee change requests when additional support is needed.
Responsibilities
Administrative Tasks:
• Ensure each new non-employee is entered into UltiPro accurately and completely.
• Communicate upcoming end dates to managers to confirm end dates or submit extension requests for approval.
• Submit extension requests for approval, track approvals for compliance, and process in UltiPro as requested.
• Ensure that extensions are within policy and secure and track proper approvals for compliance.
• Promptly separate or schedule separation of non-employees as requested.
• Inform all relevant parties of onboarding, approved extensions, and separations.
• Regularly audit non-employee data between UltiPro, iCIMS, and People Table and make corrections where necessary.
Contingent Onboarding:
• Ensure proper documentation (background checks, SOWs, Exhibit As, etc.) exists for non-employees as required.
• Confirm employee type determination with HRBP (Consultant, Contingent Worker, or Independent Contractor).
• Request and process background check/fingerprints.
• Obtain required onboarding details from hiring manager.
• Enter new non-employee data into UltiPro and ensure all onboarding teams and manager are notified.
Contingent Separations:
• Ensure timely processing of terminations in HR system.
• Collect and input separation reason and eligibility for rehire into HR system.
• Inform all relevant parties of separations immediately.
• Work with the manager and the Hardware Retrieval Team to collect all company property assigned to him/her.
Qualifications
• 1-3 years of related HR experience within a high-volumen enviroment or any combination of experience and education which indicates possession of knowledge and abilities
• Strong Excel experience required
• BS/BA degree preferred
• Ability to interpret and communicate Company policy
• Extraordinary customer service
• Meticulous attention to detail
• Outstanding organization and prioritization skills
• Expert at multi-tasking and functioning in a high volume, high risk, fast paced, and deadline-oriented environment.
