Analyzes and completes initial identification and sorting functions on incoming correspondence, applications, claims, etc. using various systems. May prepare documents for scanning. Researches missing or rare corporate records/receipts.
Essential Job Functions:
• Review, evaluate and determine the disposition of incoming mail that cannot be classified prior to opening.
• Maintain records of all cash received. Recognize and correctly distribute highly technical and difficult-to-interpret correspondence for all areas of the Companies.
• Identifies and refers complex or problem cases and answer related questions.
• May prepare documents for scanning into the imaging system by analyzing the type of document, determining the appropriate queue for processing, identifying document classification, and attaching bar-coded batch sheets.
• Research missing or rare corporate records.
• Work with various customer areas to determine or modify existing or new procedures and practices.
• Perform related duties such as referencing index and policy status information to personnel as appropriate, completing special routing and assembly instructions, and maintaining various records and statistics.
• Review, sort, log and file various documents and refer items requiring further handling.
• Pull documents and attach routings, correlate files and documents.
• Analyze and purge or relocate old records. Record document location and date.
• Perform quality assurance checks on a random sample basis. Compile section work performance statistics and other section reports. Assist with special projects and work requests.
• May respond to phone inquiries from internal and external customers, referring more complex cases.
• Maintain department machinery such as fax, photocopier, scanners, and printers.
• Perform routine maintenance as needed.
• Perform troubleshooting and review/discuss problems with appropriate personnel and following directives when necessary to identify and resolve problem situations.
• This position is in a fast-paced, high volume environment with set production goals.
• This position may require frequent standing or walking for extended periods of time.
• This position requires Visual Acuity at 20 inches (or less) over 66% of the time.
Minimum Qualifications:
• Good keyboarding/PC skills
• Oral and written communication skills and attention to detail
• Ability to work in pressure situations
• Ability to work with terminal digit, alpha, Julian date, batch number, and numeric filing systems
