Basic Purpose:
The primary role of the Assistant Manager is to facilitate and supervise best in class client service to shareholders and their financial advisors, address and resolve operational and other matters in an effective and timely manner, and ensure accurate processing of financial transactions, which primarily consist of redemptions in-kind. Other responsibilities include coordinating team assignments and schedules, directing team workflow, providing support to internal departments and overseeing external service providers, including the transfer agent and custodian. The Assistant Manager will play a major role in establishing and maintaining high client service standards as well as implementing risk mitigation policies and procedures in relation to transaction processing and data sharing.
Primary Responsibilities:
• Supervise Investor Service Associates, including:
◦ Coordinate assignments to ensure effective and timely completion, while also keeping a focus on staff development opportunities
◦ Facilitate and oversee processing of Redemption In-Kind requests in accordance with procedures and controls; ensure daily workflow is managed timely and effectively
◦ Conduct periodic team meetings
◦ Participate and administer staff development initiatives, including identifying training needs, conducting training on a periodic basis, coaching, and providing both formal and informal performance evaluations
• Monitor sensitive functions for quality including internal and external mailboxes as well as call monitoring
• Ensure that all departmental procedures and controls are documented, adhered to and reviewed with staff members on a periodic basis
• Administer and oversee certain oversight and quality assurance procedures for transfer agent functions
• Maintain strong relationships with custodian bank personnel, transfer agent personnel, internal legal department and others
• Provide coverage for manager in his or her absence
• Internal and external reporting of various investor information as necessary
• Assist manager with ongoing process improvement and risk mitigation initiatives
• Other responsibilities/projects, as necessary
Job Requirements:
• Bachelor’s degree in business, preferred
• FINRA Series 6 & 63 licenses within 8 months of start date
• 4-5 years of industry experience
• Prior experience in a client service setting a plus
• Strong oral and written communication skills
• Eagerness and ability to learn complex investment products and related processes
• Ability to work independently and as part of a team, while handling multiple tasks and responsibilities simultaneously
• Willingness to assist others with various duties that go beyond typical daily responsibilities
• Availability to working non-regular business hours periodically throughout the year required
• Excellent computer skills including MS Word and Excel a plus
