Overview
Executive Assistant II coordinates projects; facilitates the research, collection, analysis and reporting of data. Responsible for efficiently and effectively performing all assigned administrative, clerical, staff support and general office duties including handling directly or referring customer complaints, while maintaining the confidentiality of sensitive materials. This position also provides administrative support of organization Executives.
Essential Duties and Responsibilities
• Prepares correspondence, memorandums, and reports for executive officer(s).
• Interfaces with associates and executives throughout the department to research and collect quantitative and qualitative data, including searching the Internet, industry publications and other external sources.
• Examines and analyzes collected data to clarify current conditions; perform follow up research as needed to clarify results and acquire missing and/or additional information, while considering correlated, casual, and relational data; communicate results and recommendations to Executives.
• Creates forms, processes and/or procedures, reports and presentations; assists the responsible executive with implementation, communication, maintaining, tracking and evaluation of these methods to ensure effectiveness, efficiency, adherence and compliance.
• Responds to customer inquiries/complaints directed to executive officer(s) as knowledge permits.
• Prepares and distributes all goal and budget reports, weekly/monthly committee reports, etc.
• Provides support of information to all associates in the applicable department.
• Ensures all appropriate documentation for applicable department is processed accurately and completed in a timely manner.
• Assists with all internal and external examination requests.
• Ensures all departmental documents and activities are performed in compliance with applicable laws, regulations, policies and procedures as applicable to this position, including completion of required compliance training.
• Performs other duties and responsibilities as assigned.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
• Ability to read and interpret documents such as procedure manuals, general business correspondence and/or journals or government regulations
• Ability to write routine reports and business correspondence
• Ability to respond in writing to customer complaints, regulatory agencies or members of the business community
• Ability to effectively present information in one-on-one and small group situations, to customers, clients and other employees in the organization
Required and Desired Education and Experience
• HS Diploma/GED
• AS/AA Degree or specialized training preferred
• Minimum 4 years work experience in applicable department or as Executive Assistant
• MS Office programs
