We are looking to hire an Executive Assistant for the Office of the Corporate Secretary in New York Life’s home office at 51 Madison Avenue, New York. The Office of the Corporate Secretary assists the Chairman in all matters pertaining to the Board of Directors and its Committees including (i) developing and administering corporate governance policies and procedures and (ii) liaising with the Board of Directors and senior management in connection with Board and Committee meetings and related matters. This opportunity provides room for advancement, and a chance for an extremely bright, self-motivated person to take on substantive work and interact with senior executives.
The Executive Assistantresponsibilities include, but are not limited to:
• Manage Attorneys’ calendars and daily priorities, and assist with the day-to-day operations of their respective areas
• Handle all aspects of administrative support in a timely and professional manner, including creation/review/revision/proofreading of memos, letters, presentations, minutes, resolutions and reports
• Handle planning of Attorney’s meetings/coordination and phone coverage, including providing backup support for other administrative assistants
• Draft preliminary Corporate Governance documents
• Prioritize phone, mail and E-mail messages; respond to requests on behalf of managers; track and follow-up on deliverables; maintain files
• Manage documents, including reviewing sensitive documentation
• Assist with travel needs
• Order and maintain supplies, and handle other administrative duties as assigned
REQUIRED QUALIFICATIONS:
• Must be able to work 9:30 – 5:30 in addition to overtime as needed
• Bachelor’s Degree preferred
• Minimum of 5 years administrative experience supporting senior level executives in a corporate environment
• Strong written, verbal, and communication skills with the demonstrated ability to work with all levels within the organization
• Ability to work and conduct research independently; able to work independently and as part of a team
• Excellent organization and problem-solving skills; exceptional attention to detail and follow-up
• Ability to multi-task and set priorities; flexibility in a fast-paced corporate environment
• Demonstrated ability to think end-to-end, connect moving parts, and anticipate change impacts
• Adaptable and quick learner
• High level of professionalism with strong interpersonal skills
• Demonstrated ability to maintain confidentiality; good judgment and diplomacy
• Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
• Boardvantage proficiency desired
