Job Description
Currently we are looking for a talented Supervisor Operations Audit Services to join our Retirement Solutions Division in Newport Beach, CA.
The Retirement Solutions Division leverages its strengths in product development, technology, services and risk management to create retirement solutions for individuals, families, and businesses. With the guidance of financial professionals, customers have access to an array of annuities and mutual funds designed to help grow assets and to provide retirement income for financial independence.
RESPONSIBILITIES
Under minimal direction, supervises the daily activities of the Operations Audit Services staff with focus on the following core areas:
Implementation of Department’s Productivity and Service Standards
• Staff Development and Performance Management
• Operations and Department Initiatives
• Department Training and Team Meetings
• Personnel Interviewing and Hiring
Implementation of Department’s Productivity and Service Standards
• Monitors workflow and service levels to ensure alignment with productivity and quality goals.
• Appropriately reassigns workflow as needed, and coordinates department activities with minimal impact.
• Proactively identifies trends that pose challenges to workflow or service standards, and addresses or presents alternative solutions to management.
• Handles and resolves complex issues with customers by using appropriate guidelines for special handling and effectively resolving or minimizing escalated issues.
• Stays current with department processes and procedures.
• Proactively reviews documentation and identifies opportunities to improve processes or clarity for staff. Addresses needs or presents thorough recommendations to management as appropriate.
Staff Development and Performance Management
• Provides regular, ongoing feedback regarding staff performance and delivers annual reviews by established HR timeframes.
• Ensures staff has clear development objectives and resources to accomplish goals. (See below)
• Identifies and addresses performance issues in timely manner and coordinates disciplinary action as needed under guidance of Management and HR.
• Supports development of newer Supervisors by providing guidance on best practices for workflow management, staff supervision and development.
Operations and Department Initiatives
• Participates in assigned projects, committees, etc. by appropriately representing Operations, impactfully contributing to related activities, insuring Operations’ or department’s needs are addressed, and communicating to stakeholders as appropriate.
• Properly implements rollouts to department, meeting key deadlines.
Department Training and Team Meetings
• Coordinates or delegates coordination of new hire training, and monitors to ensure it is conducted efficiently and in a manner that enables staff to successfully develop skills and knowledge.
• Identifies staff ready for OJT and/or up-training, and coordinates by ensuring resources are available and workflow needs are met.
• Proactively identifies gaps in training activities and provides Manager with recommendations to enhance process.
• Facilitates regular team meetings to promote clear communication with department.
Personnel Interviewing and Hiring
• Effectively interviews and analyzes candidates to ensure new hires display appropriate competencies for position.
• Collaborates with Management and Employment during hiring decisions.
FACTORS FOR SUCCESS
• Minimum 3 – 5 years supervisory experience within the financial services industry, to include:
• Ability to motivate, develop, and direct staff
• Experience meeting departmental and corporate objectives
• Skilled in problem-solving and resolving complex issues
• Strong written and verbal communication skills, and the ability to communicate with various levels of professionals
• Ability to work effectively in a team supervision environment
• College degree and/or equivalent experience preferred.
