Enhance the effectiveness of Voya Investment Management’s Human Resources team by partnering with HR Generalists located in New York, NY, Scottsdale, AZ, and Windsor, CT to perform a wide variety of administrative and HR related duties in managing relationships with employees from a variety of client groups (including Distribution, Marketing and Product Development & Management). Reporting to the Sr. HR Generalist for the Client Group, the Human Resources Coordinator serves as an essential representative of the HR team and partner to Voya Investment Management employees by communicating HR policies and procedures, including, but not limited to, staffing, employee relations, and training programs.
RESPONSIBILITIES:
• Help build a high performance culture by partnering with HR generalists, candidates and hiring managers to handle day-to-day staffing administrative requirements (e.g., job posting, reviewing/screening resumes, interview scheduling, applicant tracking, compiling data, report generation, background checks, etc.)
• Assist in the administration of HR policies and programs such as leaves of absence, employee relations, performance management, compensation, and learning and development.
• Partner with the NY based HR Administrator and investment focused HR Coordinator as the point of contact for the HR department by fostering appropriate traffic flow while ensuring customer needs are met.
• Assist in creating a positive onboarding experience for new employees by preparing offer letters, providing electronic new hire packets, ensuring the return of required paperwork, performing new employee orientations and processing I-9s.
• Process and input personnel actions such as: Transfers, Promotions and Separations.
• Assist in maintaining client group organizational charts.
• Maintain confidential HR filing system.
• Partner with the NY based HR Administrator and investment focused HR Coordinator to distribute mail, prepare outgoing mail, order office supplies and handle other site related matters as requested for the HR department.
• Coordinate temporary / contract workers, including Summer Interns.
• Assist HR team with special projects and programs as requested.
• Provide key administrative support as needed to Senior HR Generalist and HR Generalist for the Client Group.
QUALIFICATIONS:
• College degree; prefer at least 1-2 years supporting the HR or staffing function.
• Strong computer skills including Excel, PowerPoint, Word, Outlook, and conferencing systems. Applicant tracking database and Workday experience strongly preferred.
• Excellent organizational and process skills with a demonstrated ability to work on multiple priorities at one time.
• Ability to meet deadlines while maintaining a high degree of accuracy and responsiveness.
• Strong team player and collaborative work style, with a focus on building effective working relationships with employees in the client groups, HR team members and colleagues across Voya Financial.
• Excellent customer service focus with strong communication skills to effectively correspond, both verbally and in writing, using phone, voicemail, and e-mail with various levels in the company and the external community.
• Good knowledge of standard office practices and procedures. Proven administrative skills, including report preparation and development.
• Ability to work on routine assignments independently while exercising good judgment and critical thinking in deciding when to take action or when to ask for direction.
• Demonstrated ability to deal with confidential and highly sensitive information.
