Description
Responsibilities of the Market President Executive Assistant
Calendar and Phone Management
• Manage Outlook calendar and phone
• Assist with the scheduling of all appointments, live meetings and video conferences
• Schedule meetings as needed and required
• Proactively manage schedule conflicts
• Assist with scheduling Monthly 1:1 with direct reports, staff meetings
• Contact management maintain contacts on outlook and business card file
Travel & Expense Management
• Make all necessary travel arrangements
• Submit and manage expenses for reimbursement monthly
• Prepare file with all necessary materials needed for travel day before departure
• Submit expenses monthly to insure timely payment of corporate card and reimbursement of monthly mileage and eligible expenses
Office Management
• Maintain all email distribution lists
• Maintain filing system and contact information
• Liaison with internal partners for office and facilities issues
• Compose internal communications and client correspondence
• Onboarding of direct reports and their support staff
• Attend to all accounts payable requests in relation to executive office
• Project support as needed
• Prepare materials for internal meetings and presentations
• Assist in scheduling and preparation for internal staff and client meetings and
events for state-wide and regional area executives
Other
• Nashville Advisory Board Secretary, quarterly meeting coordination & preparation of meeting minutes
• Corporate Business Continuity Plan Administrator
• Manage Corporate Wire PIN Limits and Requests
• Manage President’s client hosting events including table fulfillment and suite entertainment
• Track Invitations and Attendee lists
• Salesforce RMS customer & prospect inquiries and industry related news research as needed
• Knowledge of Microsoft PowerPoint, Excel & Word
Requirements
Requirements
Requires a High School diploma (or equivalent) for consideration
4 - 6 years' experience requires; 6 - 8 years' experience preferred including calendar and phone event planning
Exceptional organizational skills required
Competency in Excel, Word, PowerPoint and Microsoft Outlook
Accurate typing, spelling and grammar skills
Good written and oral communication skills
HOURS:
Monday-Friday; 8:00 AM - 5:00 PM
