Position Summary
The Administrative Assistant, Operations plays an important role in the organization by performing a number of activities related to the company’s Production Operations functions. The role is primarily responsible, under general supervision, for performing full administrative and clerical duties of a confidential nature for executive and senior-level management within the Operations department.
Essential Functions
• Perform general clerical duties and office support, to include, but not limited to: photocopying, faxing, mail support and distribution, file creation and maintenance, and filing.
• Prepare and modify reports, memos, letters, agendas, and other documents and deliverables, using word processing, spreadsheet, database, or presentation software.
• Work closely and effectively with the executives and department managers in functional service area(s), performing various administrative duties upon request; ordering archive folders, sending out monthly comment cards to branch managers, sending reminders for RESPA related reports, and other special projects.
• Receive and review escrow withhold approval and release requests; respond to related inquiries, and prepare and distribute escrow withhold checks.
• Prepare letters and process payments related to VA Lender Appraisal Processing Certification (LAPP).
• Access FNMA QAS system daily to retrieve communications and reports.
• Process FHA case transfer requests.
• Receive visitors and calls for the executives and department managers in functional service area(s); provide information by answering questions and requests.
• Coordinate and schedule appointments, conference calls, staff meetings, luncheons, annual conferences, and other events; set-up and reserve meeting space, respond to and create calendar requests, order necessary supplies and meals, prepare agendas, work closely with venues on off-site meeting details, contract, budget, catering, etc.
• Respond to requests for system updates related to appraisal, wire, and flood inputs.
• Process accurate and timely expense reimbursements for executives.
• Process monthly invoices for payment to various vendors.
• Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
• Ensure the department is aptly outfitted with proper equipment, including computers, copy machine(s), phones, etc. Collaborate with IT on Facilities Service Requests to obtain and maintain equipment as needed.
• Arrange detailed travel plans and itineraries for corporate travel.
• Perform other administrative duties as assigned.
Qualifications
• High school diploma or equivalent required, some college-level business courses preferred, along with a minimum of three years experience as an administrative assistant supporting multiple managers.
• Prior experience in Mortgage lending, Finance, or similar field strongly preferred.
• Passionate about delivering excellence in customer service.
• High levels of diplomacy, tact, and confidentiality a must.
• Pursues everything with energy, drive, and a need to finish; seldom gives up before finishing; especially in the face of resistance or setbacks.
• Ability to demonstrate patience and professionalism when interacting with both internal and external customers.
• Ability to manage multiple priorities simultaneously.
• Excellent verbal and written communication skills required; excellent spelling, grammar, and punctuation skills.
• Highly organized and detail oriented; ability to work in a fast-paced, metrics-driven environment required.
• Proficiency with data entry, Microsoft Word, Excel, and PowerPoint required.
• Familiarity with making travel arrangements, including booking airfare, hotel arrangements, and rental car reservations.
• Ability to type 60-70 wpm.
• Thorough knowledge of voicemail and e-mail systems.
• Ethical, with a commitment to company values.

Requirements
Physical: Work is primarily sedentary; occasionally walks and/or stands.
Manual Dexterity: Frequent use of computer keyboard and mouse.
Audio/Visual: Ability to accurately interpret sounds and associated meanings at a volume consistent with interpersonal conversation. Regularly required to accurately perceive, distinguish and interpret information received visually and through audio; e.g., words, numbers and other data broadcasted aloud/viewed on a screen, as well as print and other media.
Environmental: Office environment – no substantial exposure to adverse environmental conditions.
