Overview
Executive Assistant I
Position Summary
The Executive Assistant I performs a wide variety of clerical, administrative, staff support services and general office duties to an organizational unit which may be complex and /or involve bank-wide impact and confidential issues: organizes files, prepares documents, schedules appointments, and supports other staff. This position may handle customer complaints. The Executive Assistant I may be responsible for researching and compiling data, supervising the design, implementation, testing and monitoring of approved projects.
Essential Duties and Responsibilities
• Performs administrative office functions such as typing, making copies, opening mail, answering phone, performing receptionist duties, ordering of supplies, indexing documents into storage and other duties as needed by management and other associates.
• Assists customers and associates with a variety of daily requests; including research for customers and associates, operational issues and assistance in opening accounts.
• Gathers data and assembles reports and ensures books/reports are delivered timely to managers.
• Assists with coordinating administrative and corporate policy updates and approvals.
• Creates forms, processes, reports and presentations; assists management with implementing, communicating, maintaining and tracking procedural changes.
• Handles correspondence, monthly reports and filing.
• Ensures all departmental documents and activities are performed in compliance with applicable laws, regulations, policies and procedures as applicable to this position, including completion of required compliance training.
• Performs other duties and responsibilities as assigned.
Assist Regional Retail Manager:
• General administrative support duties (copies, phones, filing, etc.
• Prepare reports and documentation as needed
• Prepare expense requests and reimbursements timely
• Coordinate travel arrangements
• Assist with various retail campaigns and promotions
Office Management:
• Serve as primary contact for building/property management issues
• Greet and direct suite guests
• Retrieve and sort mail
• Order and stock supplies throughout suite
• Maintain kitchen stock and cleanliness
• Assist with meeting organization (set-up and clean-up)
• Management of conference room calendars
Administrative:
• Coordinate with Executive Assistants to ensure that administrative support duties for the Division President, Division Credit Officer, and Regional Retail Manager are completed daily.
• Assist with various activities at our branch
• Serve as back-up for Division President and Division Credit Officer Executive Assistants as needed
• Other duties and projects as assigned by supervisor
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Skills
• Ability to read and interpret documents such as procedure manuals, general business correspondence and/or journals or government regulations
• Ability to write simple correspondence
• Ability to effectively present information in one-on-one and small group situations, to customers, clients and other employees in the organization
Education and/or Experience
• HS Diploma/GED or
• AS/AA Degree or specialized training preferred
• Two years clerical and/or general office experience preferred
Computer Skills
• MS Office programs
