Position Description
We are seeking an Associate to join a high-volume and successful retail brokerage sales team based in San Francisco. This position plays a central role for the team in managing deal transactions, creating marketing materials, client interaction, new business activities, moderate financial management, and general administrative support.
Deal Related Responsibilities / Marketing:
• Maintain a high level of professionalism and integrity as a team player and possess the ability to work for a team of brokers including communication with external clients and vendors with minimal daily supervision
• Manage client/prospect contact database, schedule follow-up meetings with clients and prospects, and administer marketing database
• Perform business support function activities for brokers; intuitive calendar management, meeting planning on and off-site, travel and expense management and other general duties
• Produce documents such as lease proposals, letters of intent, property surveys, general correspondence, standard reports in accordance with corporate standards and guidelines
• Establish and maintain record keeping; tracking commissions, invoices and systems entries
• Process deal files in a timely manner, update finance system and track deal flow process
• Serve as main point of contact between Leasing Teams, Research, Marketing and Finance, as well as coordinate each divisions’ responsibilities as they pertain to a specific task
• Be instrumental in assisting the team with the development and implementation of its strategic business/marketing plan
• Prepare and distribute marketing materials / packages including maps, aerials, team marketing pieces, property brochures, property flyers, email blasts, tour books, presentations, marketing plans, submarket updates in conjunction with marketing / GIS department
• Assist in the production of client presentations and proposals, ranging from standard form pitches to larger, more intensive proposals
• Manage process of distribution, list updates and activity reporting
• Process and submit leasing deals and proposals
• Manage the workflow and approval process for leasing deals
• Produce lease status reports, as needed
• Assist and participate as needed for industry functions or client events
• Work with appropriate contact to maintain intranet/extranet sites for client and property purposes
• Work with Costar, LoopNet, as well as other databases to maintain accurate listing/brokerage information
• Support brokers in utilizing Outlook, CRM and other data entry and maintenance, for the purposes of direct marketing and client relationship development
• Provide research (prospect, client, etc.) via online, offline and third-party resources and provide industry-related news, as needed, partnering with research department
• Maintain all landlord agency listing expiration dates and submit renewal letters when appropriate
• Input and maintain landlord agency and tenant representation deals and accounting documentation in Dealio system
• Coordinate travel arrangements
• Perform clerical duties to include photocopying, mailing, faxing documents, scheduling appointments and coordinating calendars
Skills:
• Proficiency with Microsoft Office (Outlook, Excel, PowerPoint and Word) and Adobe Creative Suite (InDesign, Photoshop and Illustrator)
• Ability to learn mapping, graphics and industry-specific software
• Ability to work within a fast-paced, dynamic environment
• Excellent written and verbal communication skills: ability to communicate effectively with different audiences and present complicated information clearly
• Strong time management skills and ability to work both independently and within a team environment

Qualifications:
• Education: Bachelor’s degree or equivalent experience preferred, but not required
• Experience: 2-3+ years of experience in a professional company environment and real estate experience preferred, but not required
