Position Overview
This position will mainly support a Management Committee member - Senior Vice President (SVP), Corporate Controller & Principal Accounting Officer (PAO) in the Finance Division at Freddie Mac. The role will also provide administrative support to other VPs and the Directors within this group. The position will support team members who are responsible for various financial / corporate financial reporting and analysis activities including but not limited to Freddie Mac’s SEC and regulatory filings, accounting policy, SOX internal controls and relationship with our - onsite - external auditor – PwC.
Responsibilities include
•Act as key contact for the scheduling of meetings and events with internal/external customers for the SVP and other VPs, including prioritizing meeting requests, resolving scheduling conflicts in an efficient manner and securing meeting space.
•Exercise discretion and judgment in managing executives’ calendars to ensure their time is effectively used
•Coordinate with business areas to provide timely and accurate information necessary for the senior executive to be appropriately prepared for corporate and stakeholder meetings/events including board reporting
•Exercise good judgment in a variety of situations and manage multiple demands in a fast-paced and constantly changing environment
•Establish and manage office protocol ensuring that administrative practices support the corporate mission, strategy goals and activities
•Managing calendar entries; assisting in the planning and scheduling of team events, training & learning sessions, and business meetings
•Screening in-coming phone calls; includes responding to inquiries and re-directing as appropriate
•Provide telephone coverage for SVP and coordinate – with other department admins - that his phone is covered at all times
•Maintaining office supplies as needed
•Arranging travel logistics as needed
•Processing and tracking expense reports, check requisitions, purchase orders and contract renewals
•Navigating the company’s internal resources to obtain services and resolve issues in a timely manner
•Managing employee access to shared directories and ensuring technology requests are fulfilled accurately
•Preparing correspondence, presentation materials, communications, and reports as needed
•Coordinate any departmental communication with SVP and Communications Specialist
•Creating and maintaining files of key documents
•Catering planning & ordering as needed
Qualifications
•Job requires a Bachelor Degree in Secretarial Science, Business Administration or related discipline or and equivalent combination of education and experience from which comparable knowledge and skills may be obtained, five-years experience in an executive assistant role and a thorough knowledge of company operations
•Experience preparing documents and presentations; preparing and track various business reports as well as maintaining spreadsheets and database information
•Must possess strong experience with MS Office (Excel, Word, PowerPoint & Visio) & SharePoint
