Basic Purpose:
The AP Assistant Manager will report directly to the Accounts Payable and Travel Services Manager and will be responsible for the day-to-day supervision of the Accounts Payable staff. This position will include supervision of the full cycle accounts payable process and will work collaboratively with all members of the Accounting and Procurement teams to ensure timely and accurate financial postings. This role will also work closely with the Accounts Payable and Travel Services Manager on special assignments and projects.
Primary Responsibilities:
• Supervision of the day to day AP operations including a staff of four (4)
• Daily review and approval of invoice postings in SAP
• Process/Approve new vendor documentation, ensuring the Company has a valid Form W-9 or W-8 for all active vendors where necessary
• Responsible for researching outstanding checks and filing of abandoned property reports
• Prepare yearly federal and state Information filings (i.e. 1099, 1042)
• Quarterly/Adhoc reporting for External Wholesalers
• Assist in the administration of the expense management system (Concur), including set-up of new users and employee training
• Assist with the administration of corporate card programs
• Additional responsibilities as assigned
Job Requirements:
• Bachelor’s degree with 7+ years Accounts Payable or equivalent experience
• 3-4 years of supervisory experience, preferably in an Accounts Payable or other Accounting function
• Knowledge of IRS Information Reporting rules and ability to research as required.
• Experience with SAP and Concur preferred
• Must be customer service oriented with strong interpersonal and communication skills
• Organized, detailed and able to prioritize and show flexibility when priorities change
• Position requires the ability to supervise staff and a willingness to roll up your sleeves and pitch in with the day to day data entry when necessary
