Jones Lang LaSalle is currently seeking a Car Fleet Administrator to join our Corporate Solutions team on our client account in Cincinnati, OH. We’re looking for a proactive administrator who partners with members of our car fleet team and our client to translate their business requirements into world class business support. This administrator is the car fleet team’s trusted colleague in ensuring the flawless execution of business-critical support functions. A credible, impactful communicator, he/she operates with a “no surprise” approach. This person has a successful track record of supporting high-performing teams and thrives when held to rigorous performance and administrative standards.
Duties and Responsibilities
Car Fleet Service line support
• Provide superior administrative support to the North America car fleet team
• Interface as appropriate with car fleet suppliers. Collaborate and exchange information in support of the client's needs
• Support other car fleet initiatives, transitions and integrations as assigned
• Manage and track driver enrollments in the company car and FAVR program
• Process payroll files
• Process payments received from used car sales or driver reimbursement of P&G paid fleet expenses
• Prepare monthly personal use fee cross charges or other cross charges as required to meet client needs
• Assist with Sourcing and Financial administrative requirements, including Purchase Orders and Invoice processing.
• Process all IT requests for the car fleet team
• Assist with audit documentation
Key Performance Specifications
• Service Oriented: quickly establishes credibility in partnering with the car fleet team including GBS, H/R and finance contacts.
• Communication Skills: Communication is always professional, courteous and to the point. Speaks in the client’s language. Clearly sets expectations and defines deliverables when communicating a need for action.
• Self-Driven: Able to be informed of target outcome and identify the necessary tasks and process steps to achieve it. Requires minimal supervision.
• Analytical: Able to identify, evaluate and clarify risks, opportunities and considerations in order to support the business and to create a strong efficient team.
• Accountable: Actively takes ownership of assigned or observed problems and opportunities, and seeks continual improvement. Develops solutions and bridges gaps.
• Technologically Proficient: Well-versed in leading practices with key office technology. Brings new tools or ways of using tools to play in daily work and shares ideas with colleagues to build efficiency and streamline key processes.
• Adaptable: Is flexible as objectives or decisions change. Switches gears quickly and with a positive attitude in order to respond to urgent adjustments.
Qualifications
• Excellent computer skills, including Microsoft Outlook, Word, Excel, PowerPoint, and Access.
• Superior customer service skills to work with individuals of diverse backgrounds and within all levels of the organization
• Excellent written and verbal communication skills
• Minimum 5-7 years of experience in executive administrative role
• Associates Degree, Bachelor's preferred
