Meeting and Event Planner:
The Meeting and Events Planner is a highly visible role which demands extensive customer service skills, a high level of professionalism and willingness to handle all planning and administrative details of meetings and events. The ideal candidate must thrive in a challenging and fast passed atmosphere with the ability to prioritize and multitask. Exceptional attention to detail and organizational skills are required. This position will work in a team environment to produce events, meetings and additional projects as required.
• Provide logistical planning support for GT meetings, events and conferences
• Manage core national training programs
• Primary point of contact for national training participants or other meeting stakeholders as assigned
• Ability to utilize various technology systems and software to support meeting planning end to end process
• Act as registration tool “help desk” support and overall administrator
• Assist in the development and management of program budgets
• Oversee meeting preparation, supplies ordering and packing/shipping of event materials
• Staff events and manage onsite event registration; includes occasional travel to offsite locations regional and national meetings as requested
• Deliver on-site client service based on department standards and as directed by management team
• Data entry and daily administrative functions
• Track expenses for event budget reconciliation and integrity
• Reconciliation support for meeting invoices and master billing reconciliations
• Knowledge and application of firm policies including actively supporting and lending guidance
• Other duties as assigned by the Manager of Meetings and Evens and Director of Meetings and Travel
Qualifications/requirements
• Bachelor’s degree or significant related experience.
• 5+ years of proven, highly experienced developer of high impact, centralized events management functions for large corporations.
• Strong technology and software skills – ideally working with Cvent, Starsite, Lenos, Concur and/or other
• Ability to work collaboratively with all stakeholders
• Excellent Microsoft Office skills – Excel, Word, PowerPoint, Outlook, etc.
• Deep working knowledge of procurement policies, practices and approaches related to event planning and management.
• Expert developer of detailed meetings requirements.
