The Admin Assistant and Community Relations Coordinator is responsible for two primary focuses - providing administrative support to the Community Banking President, Area Managers, Business Development Officer and others as needed; and, directing and/or coordinating internal and external community relations activities throughout the Treasure Valley in order to enhance the image of the bank. This is a full time, 37.0 hour a week, position.
Essential Functions

1. Make travel arrangements for management and employees attending group conferences.
2. Efficiently organize bank events such as meetings, luncheons and receptions. Ensure proper communication of event, timely set up, purchasing of necessary products within prescribed budget and handle all coordination involved with the event.
3. Maintain calendars, appointments and schedules. Set up and assist with meetings as necessary. Maintain online calendars and book conference rooms for meetings.
4. Handle vendor, customer and branch inquiries and concerns.
5. Compose and send letters of congratulations, condolence, thanks and other events to enhance the image of the bank and/or in response to questions about the bank’s services.
6. Prepare various weekly and monthly reports. Assist in the annual budgeting process and ongoing budget monitoring. Prepare Cognos reports as needed.
7. Prepare and review various monthly employee expense reports.
8. Coordinate building maintenance and moves throughout the Treasure Valley.
9. Manage the area’s central storage unit.
10. Purchase supplies as needed for both the department and the Meridian Financial Center.
11. Participate in the StarFish program.
12. Plan and coordinate various Treasure Valley bank events - examples: Day of Caring, United Way, Family @ the Zoo, Botanical Gardens, Idaho Public Television, ACMS Winter Garden aGlow.
13. Look for opportunities to volunteer throughout the community.
14. Look for opportunities to participate in events throughout the Treasure Valley that raise awareness of the bank.
15. Prepare give-away gift baskets for dinner auctions and other events.
16. Work with the bank’s CRA Coordinator on donation requests, check presentations and the Everfi program.
17. Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control

Requirements
Required Education and Experience
1. High school diploma or equivalent.
2. 3 or more years experience of secretarial experience with heavy community involvement.
3. Proficient in Excel and Outlook
4. Excellent Communication Skills both verbal and written to maintain a heavy volume of correspondence, personal contact, and telephone communication.
5. Ability to maintain strict confidentiality
6. Ability to multi-task and handle complex tasks efficiently. Strong organizational skills
7. Ability to work independent of daily supervision
8. Ability to work effectively with customers, board members, vendors and employees
9. Maintain a good working relationship with bank employees in all departments. Demonstrate strong interpersonal skills with the ability to work independently, as well as work in a team.
Preferred Education and Experience
1. Prior banking experience
Work Environment
This job may operate in a clerical office setting or job site. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. May also use standard tools such as a screwdriver and hammer. May work outdoors in varying climates.
Physical Demands
Able to stand, crouch, and climb to perform repairs, use ladders, and perform various types of manual labor with limited physical exertion and occasional lifting of up to 50 lbs. Must be capable of climbing / descending stairs. Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours whenever required or requested by management. Must be capable of regular, reliable and timely attendance. Must have manual dexterity sufficient to use hand tools.
