The primary purpose of the job is to provide administrative support for the President and other Leadership team members at AIG Direct.
The ideal candidate will be able to demonstrate, under minimal supervision, the ability to perform clerical, administrative, and general office duties requiring advanced skills and significant experience. Assist with general site activities and schedule facility maintenance as necessary.
Primary tasks for the role will include, but not be limited to, the following:
• Provide administrative support to President and Leadership Team Members such as calendar management, travel arrangements, and expense reporting.
• Monitor daily office services, solves moderately complex problems that address day-to-day issues and escalates to Leadership Team when needed.
• Distribute office communications and routine announcements.
• Plan and organize corporate events (manage all expenses associated with events).
◦ Employee Appreciation week and Annual events (Holiday/company Picnic)
◦ Sales quarterly awards and Annual luncheons/dinners
◦ Employee Town Halls & Senior Leadership meetings
◦ Charity/Volunteer events and leadership councils
• Responsible for ordering and proofing the awards (shirts, plaques, ect.)
• Respond to routine inquiries and interact with executives and external contacts including but not limited to corporate visitors in the San Diego office.
• Creates moderately complex reports and presentation decks occasionally.
• Support management on compliance and regulatory audits (internal and external), contracting and vendor governance.
• Ensuring administrative processes and office operations run smoothly. Point of contact for maintenance, information technology, and other external service providers.
What we are looking for...
The ideal candidate must possess:
• 2+ years of prior Executive Assistant experience supporting senior level management and ability to work with management at all levels and across departments
• Bachelor's degree preferred, not required
• Proficient computer skills required including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Excellent verbal and written communication skills
• Must possess mature communications with high-level contacts and ability to maintain confidentiality on sensitive matters is required.
• Strong work ethic, demonstrate a passion for what you do every day
• Individual must be able to handle multiple tasks and prioritize responsibilities.
• Must have excellent follow-through, strong business acumen and demonstrate a high level of urgency and adaptability.
• Must be an organized self-starter with the ability to handle and coordinate multiple tasks simultaneously with minimum error.
• Prior experience managing complex calendars and coordinating travel arrangements
• Must be a self-starter and take an initiative
• Must have strong interpersonal, organizational skills and be detail oriented
