Overview of the Role
Responsible for writing business letters to clients, fielding client calls on monetary transaction problems, tax form related questions, and researching all mailed or employee created monetary transaction problems. Identifies problems, determines if corrective adjustments are necessary, and processes adjustments to accounts as needed. Creates and maintains reports. Provides high quality customer support to both internal and external customers. Work is typically complex in nature with letter writing being a significant part of the role.
Duties and Responsibilities
• Answers incoming calls from internal and external clients; responds to inquiries verbally or in writing as appropriate.
• Researches shareholder account history and transaction records, responding to requests generated by shareholders, internal departments, or financial institutions.
• Identifies and negotiates solutions to problems and determines if potentially complex corrective adjustments are necessary. Processes adjustments to accounts as necessary.
• Provides written communications to investors regarding account specific information and transaction requests, as well as questions regarding mutual fund accounts, fund policies, practices and services.
• Responds to incoming investor emails regarding general inquiries and account servicing requests.
• Updates State and Federal Withholding Excel documents for payment submission.
• Reviews various reports which may impact shareholder tax reporting.
• Performs continuous quality checks in an effort to ensure complete and accurate processing.
• Provides high level of customer service to shareholders through application of industry and company knowledge, while maintaining high quality and productivity standards.
• Assists in other areas as necessary.

Technical Skills and Qualifications
• Excellent professional writing and verbal communication skills.
• Strong interpersonal and customer service skills
• Strong knowledge of IRA/Retirement plans and mutual fund tax information preferred
• Ability to understand and identify discrepancies in transaction and account history
• Ability to proof and edit work as well as verify account histories for accuracy
• Strong attention to detail and problem solving skills
• Strong computer skills, including MS Word and Excel, PowerPoint helpful
• Ability to work in a self-directed environment.
• Solid mathematic abilities
• Thorough knowledge of legal processing requirements
• Thorough knowledge of regulatory requirements associated with written correspondence
• One year banking, finance or mutual funds experience required
• One year customer service experience required
• One year research experience preferred
• Experience working with State and Federal fiduciary tax withholding requirements helpful
• High school diploma or GED required; Bachelors degree preferred
• FINRA Series 6, 63 (must be obtained within 6 months) and 26 (must be obtained within 1 year)
Ongoing competence in the role to be assessed by:
• Annual Performance Appraisal
• Completion of all assigned Compliance training
Working Environment/Physical Activities
• Overtime may be required on short notice and may include weekend/evening/holiday hours
• Typical office environment with equipment such as telephone, fax machine, copier, etc.
• PC usage up to 100% of the time
• Tight deadlines, high volumes and high accuracy standards
• Potential of significant up and down physical movement when researching hard copy files
• Ability to lift 25 lbs
