Responsibilities
• Manage calendar, including all meetings, travel, professional commitments and related preparation for Managing Director, including senior managers
• Provide sales, marketing and website support for sales & marketing executives
• Manage marketing inventories and distributions
• Plan and manage client, prospect and employee events
• Draft correspondence, presentation materials and reports as directed
• Prepare monthly financial and sales management reports
• Plan and prepare content for senior-level meetings
• Manage special projects as needed
• Review and process invoices and expenses
• Maintain appropriate records, files and documentation
• Order and maintain supplies
• Other duties as needed
Qualifications
• Minimum of 5 years executive level-administrative experience; Bachelor’s degree preferred
• Prior experience planning events and conferences
• Exceptional calendar and financial management skills
• Proficiency in the use of PC software tools to create/develop correspondence, reports, spreadsheets and presentations
• Sales administration experience is preferred
• Ability to attend events and work on projects after-hours, as needed
• Proven ability to develop relationships with c-level clients, business partners and their assistants
• Demonstrated ability to communicate effectively and professionally—both verbally and written
• Well-organized and detail-oriented to handle diverse and concurrent assignments
• Ability to excel in a fast-paced environment
• Must exhibit a high degree of discretion and confidentiality
