Job Description: Manager, Asset Management
As a member or the End User Systems Support team, the Manager of Asset Management is part of the team responsible for the lifecycle of user assets needed by our 22,000 + global end users. In addition, this person is in positon to lead and execute effective and efficient procurement and asset services, ensuing values and competencies in maintaining transparency, integrity, and compliance. The Manager of Asset Management derives meaningful operational metrics which align to OLA/SLA's across the function, and manages continuous improvements with regards to accurate and appropriate inventory across the enterprise.
Job Scope:
Reporting to Visa's Sr. Director of End User Systems Service Management Office, this role supports the delivery of financial and logistical acquisition of End User assets. This role has significant impact on the day-to-day success of the overall transformational journey of Corporate IT. The Manager of Asset Management works with internal customers, peer groups, and suppliers to ensure the timely delivery and lifecycle management of assets. As needed, this person assists with budget forecasting, analysis, cost of ownership metrics, etc. She/He works with peers to derive TCO improvements through operational efficiencies as well as vendor management activities.
Areas of experience include purchasing, budgeting, asset lifecycle, inventory management and reporting, process development\optimization and global logistics and on-time delivery of servicesssets.
Responsibilities:
The Manager of Asset Management has both the responsiblitiy to execute and lead the team that executes effective and efficient procurement and asset services performing the following responsibilities, that include but are not limited to:
Operational
• Determininng the optimial work assignments and RACI for the Asset Management Team.
• Managing the performance of the Asset Management Team, ensuiring the right staffing model, adapting to change in the function, and ensuring the team is continually improving delivery.
• Ensuring strict adherence to our process lifecycle, updating systems and documents, and auditing for accuracy, especially in the areas of ordering, updating, and retiring assets. This includes validation of status and the reconciliation of certificates of destruction when an asset is decommissioned.
• Updating the lifecycle process and Standard Operating Procedures (SOPs) on a regular basis. Maintaining controls and validating activities to meet all audit reviews and controls.
• Implementing and overseeing the team in the process of procurement and asset activities, inventory control, logistics and distribution, ensuring effectively functioning processes to avoid costly delays and lost opportunities.
• Contributing to the financial budget of assets and peripherals, including forecasting and reconciliation on a monthly basis.
• Ensuring inventory is reconciled across a variety of systems and statuses (in stock, in use, legal hold, etc.) as well as wiping/disposal activities.
• Ensuring timely delivery of goods, works and services using the team’s procurement procedures.
• Ensuring asset refresh is occurring on a timely basis across all regions. Overseeing the delivery of the global team responsible for the activitiy..
• Supervising the team to ensure the entire asset service is robust and operationally efficient.
• Managing and monitoring procurement activities including purchase processes, evaluation, contract adherence, legal considerations and payment conditions to avoid risk and exposure.
• Ensuring timely preparation of procurement plans for projects and new hire activities and monitor their implementation.
• Ensure imported supplies, materials and equipment are clearing cusoms in a timely manner.
Controls and reporting
• Work with peer teams and across multiple systems to generate accurate inventory reporting.
• Ensure audit and control regulations are met, including asset reconciliation and disposal certifications.
• Ensure team is in compliance of procurement activities, financial rules and regulations, relevant organizational directives and administrative Instructions.
• Preparing accurate ad-hoc, monthly, quarterly and annual procurement plans and progress reports as required.
• Regular submission of procurement activity reports, inventory, logistics and asset reports.
• Ensure all activities are compliant with standard reporting requirements and audits.
Interrelationships
• Partner with Finance team to forecast and manage equipment budget as necessary.
• Ensure effective lines of communication between stakeholders, some of which are within the EUS department, but also between Finance, Procurement and other cost center owners.
• Manage relationships with vendors, suppliers and contractors to facilitate smooth flow of services.
• Liaise with the Global Sourcing team to maintain cohesive hand offs between governance and implementation.
Strategic
• Participate in vendor roadmaps to ensure platform currency and awareness of upcoming model changes: Anticipate change, manage team to procure test devices well in advance of general announcements, balance global inventories to ensure sufficient stock against the timing of new model releases.
• Collaborate with Client Engineering, Business Operations, Finance, and Service Management to establish standad workstations and peripherals. Publish and maintain the standard equipment list for this space.
• Maintain and ensure adherence to Standard Operating Procedures, control of workflows, continuous business processes monitoring and delivery of improvements.
• Recommend continuous improvements to team, sourcing, technicians to drive measurable improved performance.
• Introduce new processes to improve equipment deployment, specifically for new hires and inventory refresh.
• Introduce options throughout the supply chain and identify new opportunities/vendors/suppliers without jeopardizing quality and service delivery.

• Experience in working in a global capacity including local laws, asset regulations, procurement and shipping nuances, and working with different currencies but being able to deliver baseline reporting in USD.
• Knowledge of PC, MAC and peripherals.
