Wipfli LLP is currently seeking a Administrative Assistant for our Eau Claire, WIlocation. Under the direction of the Office Manager, the Administrative Assistant provides the best possible administrative support for multiple practice groups and service lines, performs chargeable client work as assigned, and provides back-up and support for other administrative positions to ensure efficient flow of work, in accordance with company policies and procedures.
Responsibilities
• Proof, edit, and correct documents, reports, memos, and letters for Partners and associates, in compliance with work processing guidelines and firm standards. Follow-up proactively as necessary.
• Assist in the assembly of reports, ensuring accuracy and timeliness.
• Process incoming and outgoing mail and packages.
• Back up Receptionist and Office Assistant duties.
• Scheduling conference rooms and handling hospitality arrangements.
• Provide administrative support to ensure deadlines are met, while maintaining a positive, collaborative work environment.
• Develop and demonstrate a general knowledge of the firm’s products and services.
• Communicate proactively with associates and clients. Prioritize deadlines as necessary.
• Preparing workstations for onboarding or termination of firm associates.
• Scheduling conference rooms and handling hospitality arrangements.
• Assist other administrative staff with overflow work.
• Monitor and order supplies.
Qualifications
• Requires a High School Diploma or an equivalent combination of education and experience.
• Requires a valid driver’s license.
• Requires three or more years of job related experience.
• Requires intermediate knowledge of Microsoft Outlook and Word, and basic knowledge of Excel and PowerPoint.
• Experience with a multi-line telephone system and a variety of office machines.
• Ability to plan, prioritize, and organize work effectively, balance many projects simultaneously, work under pressure and time deadlines, use and learn additional software programs and train other associates in their use, work with a diverse group of clients and associates while maintaining a positive attitude towards work, the team and the firm, present a professional appearance and demeanor, effectively operate a variety of office machines, to include a PC, telephone, copier, fax, etc., to be flexible with scheduling to meet workflow demands.
• Advanced verbal and written communication skills and accurate grammar usage.
