Position Description Overview
As a trusted partner, the Executive Administrative Assistant in Global Infrastructure Operations works closely with the Senior Vice President of Global Network Services and multiple other senior leaders, providing them with administrative support. Displaying a positive and professional manner, the incumbent will act as the front-line contact for the executives by responding to inquiries and serving as administrative liaison within First Data. This requires the ability to exercise independent judgment to make administrative decisions, take action in the executive’s absence, follow established procedures and protocols, and escalate issues accordingly with the appropriate sense of urgency. Utilizing their strong computer skills, the candidate’s daily responsibilities will include: meeting coordination, calendar management, phone coverage, ordering of supplies, coordination of team events, travel arrangements, expense report generation, and other projects as requested. There will be the need to create advanced PowerPoint presentations, prepare visuals aids for presentations, generate and formulate reports in Excel, Access and SharePoint, and support other First Data systems as required.
Job Responsibilities
• Manage all Executive support including high volume calendar activity and expense management
• Make travel arrangements
• Document and distribute meeting minutes to senior leadership
• Maintain and update documents for senior leadership
• Handle confidential information in a discreet and professional manner
• Additional administrative responsibilities assigned as necessary
Scope of Job
Work requires use of initiative and independent judgment with frequent access to confidential and highly complex information.
Autonomy
Knowledgeable of organizational procedures and corporate policy, and is often called upon to interpret and communicate senior management's intent to other managers. May be accountable to manage/reduce resources and office expenses. Works under minimal supervision.
Job Requirements
• 5+ years of experience as an assistant to VP level executives in a large, fast-paced working environment
• Must have experience with international travel
• Associate’s degree required, Bachelor’s degree preferred
• Strong working knowledge of MS Word, Excel, Outlook, and PowerPoint
• Detail oriented with the ability to multi task and work independently
• Prior experience planning travel (flight research, rental car, etc.)
