We're seeking an energetic, assertive and people-oriented individual to join our Operations team. This individual reports to the Operations Strategist and offers full administrative support to the Operations team to help communicate information, organize projects and maintain office supplies.
Position Responsibilities
• Provide full administrative support to the Operations Strategist and Operations team
• Support multiple email/voicemail inboxes, prioritize meetings, organize scheduling and mitigate any scheduling conflicts
• Assist with the setup and organization of team meetings
• Ensure project timelines are met and help manage project expectations
• Maintain billing and invoicing information
• Handle IT setup as well as tracking of timeline for new team members
• Oversee desk and equipment setup for new team members and team member moves
• Implement new team processes and improve current processes to ensure the team is operating as efficiently as possible
• Utilize a creative mindset to provide ideas and support for operation functions and projects
Position Requirements
• Bachelor’s degree
• One year of experience in a project administrator or applicable professional position
• Strong organizational skills
• High-level proficiency working in Microsoft Office suite
• Strong verbal and written communication skills
• Ability to juggle projects, multitask and track multiple schedules and assignments
• Ability to be resourceful, adapt to change, work well under pressure and maintain confidentiality
• Willing to work long hours as needed
• Ability to be mobile and be on your feet for long periods of time, walking from building to building on occasion
