The Senior Management Administrative Assistant will support the Global Head of HR for Investment Management, and potentially provide a level of support to their direct reports. This person will be responsible for performing a full range of advanced, diversified executive support functions, typically of a responsible and highly confidential nature. This may include, but will not be limited to: calendar management, including scheduling meetings and reserving meeting rooms; arranging travel itineraries, including booking travel tickets and management of related expenses; preparing and distributing minutes of meetings; answering and directing phone calls; organizing town halls and leadership team off-sites; and ordering office supplies. This role is highly visible, so will have the opportunity to interface and interact daily across many levels of the organization, including with senior executives and external vendors. Will consistently demonstrate awareness and sensitivity to the culture and diversity of stakeholders. Will compose correspondence, memoranda and presentation materials. May be required to coordinate resources and logistics for projects of moderate complexity.
Qualifications
The ideal candidate will have a solid background of administrative / executive assistant experience with a high focus on confidentiality. More than 6 years’ experience is required (preferably more than 10 years). Will have strong interpersonal skills, including the ability to leverage their network within the company with poise, tact and diplomacy. A strong proficiency with all Microsoft Office products is essential. Will have the ability to learn quickly and thrive in fast-paced, ever changing environments. This person must be well organized, and able to prioritize multiple tasks simultaneously and establish and meet deadlines. Additionally, candidate will possess excellent oral and written communication skills, along with sound judgment and the ability to make independent decisions regarding planning, organizing and scheduling work. Prior experience supporting an HR function particularly with respect to transformational projects and programs is highly desirable. A Bachelors degree is preferred.
