The Role
As Operations Administrator, you will support leadership in day to day service including troubleshooting operational, service, facilities, and compliance issues. You are frequently the first point of contact, always exhibiting a professional and courteous demeanor with callers, visitors and Lincoln associates.
Responsibilities
Client Service
• Responsible for directing service requests and In-force illustration process, ensuring same-day hand-off to active planners/assistants, or forwarding to internal stakeholders in Customer Service
Reassignments
• Assist managers with recoding of accounts for all lines of business
• Maintain file documentation of changes made
Licensing, Contracting, and/or Onboarding:
• May coordinate new hire onboarding and licensing processes to include pre-hire paperwork for unregistered and registered/contracted and non-contracted associated persons
Compliance Support
• Prepare uniform transaction blotter and submit it per LFA guidelines for principal review
• Collect documents necessary and upload into document review and maintenance system
• Submit Advertising Approval material to back office for approval through online Systems
• Upon request, handle internal as well as regulatory audits by providing appropriate records to the auditor. This may include ensuring audit ready status at all times
Operational support
• Work closely with leadership team to ensure smooth day to day operations of the office
Front Desk Support:
• Answer phones and direct visitors; perform administrative tasks including mail sorting and document imaging
Facilities Maintenance
• Daily maintenance of equipment and supplies
• Order supplies
• Liaison with vendors and building management
Finance:
• Track variable expenses, and submit monthly reporting
Teamwork:
• Interact with co-workers and associates in a courteous and respectful manner to create a positive work atmosphere
• Work with each member of the office to achieve priorities, proactively aiding and assisting whenever possible to achieve maximum total office results
Education
• High school diploma or GED; College degree preferred
Experience
• 1-3 years of experience in financial services that directly aligns with the specific responsibilities for this role
• Strong desire to work in a fast-paced Financial Services sales environment
• Excellent verbal and written communication skills
• Proven aptitude with MS Word, Excel, PowerPoint, Outlook
• Extremely well-organized with ability to prioritize; appropriate sense of urgency
• Proactive approach to problem-solving and attention to detail
• Self-directed and resourceful, with a strong work ethic
• Proven ability to multi-task and be flexible
• Service orientation in support of all definitions of clients
• A demonstrated track record of consistently meeting and/or exceeding performance expectations
• Possesses a bias for action and avoids workplace distractions
• Drives tasks to completion
