Position Summary
The Supervisor, Document Specialist plays an important role in the organization by overseeing a number of activities related to the company’s Secondary Marketing functions. The role, under general direction, is responsible for ensuring that the receipt, processing, imaging and disposition of loan files and other supporting documents within their functional area(s) comply with company, investor, and third-party policies, procedures, and guidelines.
Essential Functions
• Receive suspense mail and settlement statements; distribute to appropriate departments.
• Log all pertinent documents into the system.
• Copy and scan files and supporting documents into the document retention system.
• Monitor quality of incoming work to identify trends and avoidable upstream errors; provide feedback and suggestions for corrections and improvements.
• Forward final documents to the appropriate investor or custodian according to department procedures; report document discrepancies.
• Respond to requests for documents, mini-file reviews, and main loan files.
• Monitor status of shipping supplies and ensure that they are replenished as needed.
• Submit suggestions for changes in procedures, automation, and forms to increase department efficiency.
• Assign work and monitor performance of direct reports to ensure work is completed in accordance with objectives and deadlines.
• Coach team members on issues that represent higher risk, or respond to issues that fall outside of their scope of responsibility.
• Use expertise to assist team members with solving escalated issues.
• Prepare reports related to area(s) of expertise as needed.
• Implement changes to systems, documents or procedures as a result of external and internal examinations/audits, and prepare responses/findings as needed.
• Perform other duties when necessary.
Qualifications
• High school diploma or equivalent experience required, as well as a minimum of five years total experience in roles related to secondary consumer mortgage sales, with at least two of those years spent in a lead/supervisory role.
• Ability to apply sound judgment when reviewing technical documents.
• Manage multiple priorities and workloads; ability to make work and project assignments for others.
• Coordinate work across other departments; leads with a strong sense of urgency and responsiveness.
• Excellent verbal and written communication skills.
• Highly organized and detail oriented; ability to work in a fast-paced, deadline-driven environment required.
• Prior experience using PDF software programs and Microsoft Word, Excel and Outlook.
• Ability to be patient and train less experienced team members, respond to questions, build capability.
• Intermediate math skills.
Supervision
• Intermittent to general supervision of work, depending on experience
• Apply sound judgment and thinks critically about downstream impact of changes on processes and systems that impact branch operations, department and company policies and protocols
• Hire, fire, train, coach, discipline, and exit team members
• Key point of contact for internal departments

Requirements
Physical: Work is primarily sedentary; occasionally walks and/or stands.
Manual Dexterity: Frequent use of computer keyboard and mouse.
Audio/Visual: Ability to accurately interpret sounds and associated meanings at a volume consistent with interpersonal conversation. Regularly required to accurately perceive, distinguish and interpret information received visually and through audio; e.g., words, numbers and other data broadcasted aloud/viewed on a screen, as well as print and other media.
Environmental: Office environment – no substantial exposure to adverse environmental conditions.
