SUMMARY
Under the generally supervision and guidance of the Property Tax Manager, the Tax Administration Coordinator is responsible for supporting the administration of the correspondence process for our loan portfolio while ensuring goals, service level agreements and quality metrics are achieved in compliance with client expectations and applicable internal and external controls and guidelines.
JOB DUTIES AND RESPONSIBILITIES
• Open, stamp and distribute mail accordingly to Tax Processor per alphabet assignment.
• Enter tax receipt information received and close tax timelines if needed into Navigator system.
• Receive tax bills on a daily basis from Tax Vendor, Innovative Tax Solutions. Coordinator will rename and work tax bills per department’s P&P, close tax timelines, and enter notes on Navigator System.TAR DLQ reports – distribute to Tax Processors by alphabet assignment if needed to pay taxes.
• Enter check voids on to the void check Excel spreadsheet for department’s KPI. .
• Research check voids on Navigator System and distribute checks to appropriate Tax Processor per alphabet assignment to determine if additional funds are needed to complete tax payment.
• Answer and research emails on a daily basis.
• Print faxes on a daily basis.
• Distribute tax bills accordingly to Tax Processor.
• Enter tax receipts into Navigator System and close timelines if needed.
• Research refund checks for cash department, call tax authorities if unable to locate parcels or addresses, enter notes into Navigator and notify cash department of correct loan number via email.
• (Sox Control) Receive disbursement checks for taxes/invoices paid out of Navigator on a daily basis that need to be mailed/Fed Ex.
• Mail/Fed Ex all checks to the appropriate vendor/tax office.
• Scan and save all checks to the R drive.
• Notify via email to Invoice and tax department that the checks are in the R drive for viewing.
• (Sox Control) Run positive pay report on a daily basis.
QUALIFICATIONS
• High School Diploma or General Equivalency Degree (GED) required
• Six months general Mortgage and/or Mortgage Customer Service experience preferred
• Consistent professional demeanor required
• Proficient with MS Excel and MS Word.
• Well organized, effective time management, prioritize and allocate workload for optimum efficiency.
• Strong Team Player. Position requires interaction with interoffice personnel
• Ability to perform multiple tasks, process high volumes and meet critical deadlines while maintaining accuracy and quality.
• Strong work and business ethics.
In addition to the Company’s standard background check, this position also requires the successful completion of a background check conducted by the FDIC to include criminal background check, credit check and fingerprinting.
