Ascensusis the largest independent retirement and college savings services provider in the United States, helping over 7 million Americans save for the future. We need a seasoned executive administrative to support our Legal Department and professionals in Risk and Compliance.
Responsibilities
• Administer system for filing contracts and other corporate documents in hard copy and electronically
• Serve as primary administrator of Midaxo (a mergers and acquisitions workflow tool)
• Assemble and distribute books for board of directors meetings
• Create and edit a variety of documents, correspondence and reports in Adobe and Microsoft Word, Excel and PowerPoint
• Handle incoming/outgoing mail and telephone calls
• Schedule appointments and coordinate arrangements for meetings, conferences and travel
• Administer approval and payment of invoices and expense reports
• Act as office manager for small office, including working with building management and assisting with technology issues
• Interact with associates in business units across the company
• Assist with other tasks and projects as assigned
Experience:
• High School diploma or equivalent
• 10+ years of experience providing administrative support to senior executives
• Experience supporting an in-house legal department preferred
• Advanced knowledge of Adobe and Microsoft Word, Outlook, Excel and PowerPoint
• Able to handle a broad variety of complex administrative duties without close oversight
• Strong written and verbal communication skills
• Able to multi-task and meet multiple and concurrent deadlines in a high-volume, fast-paced environment
• Able to work with and protect confidential and sensitive information
• Strong attention to detail and good judgment
• Able to analyze complex administrative details, establishing filing systems and assembling reports containing data from multiple sources and departments
• Hardworking, mature and proactive
• Able to work in a team environment as well as independently
