Summary
The Client Service Coordinator is a front-office role that provides executive support to the Senior Wealth Advisor and administrative support to the practice.
Job Duties and Responsibilities
PHASE 1 (INITIALLY):
• Assists the Senior Wealth Advisor: maintains calendar, manages email, and arranges travel
• Screens and routes calls and manages voicemails (lead role)
• Provides basic client service for in-bound calls and emails and/or directs service to corporate office or back-office team as appropriate
• Perform appointment prep and follow-up for Senior Wealth Advisor (primary prep role and backup follow-up role)
• Delegates advanced client service to the back-office team
• Schedules client appointments (lead role)
• Mail and postage management (mail out and in)
• Confirms client appointments by phone one day in advance
• Prepare and manage appointment reminder cards
• Greets and directs clients and other visitors
• Prepare client folders for client appointments
• Coordinates office cleaning and acts as a liaison with office custodian
• Participate in referral objectives
• Maintains the office aesthetic, including interior design and décor updates
• Bookkeeping support (receipts to Director of Operations)
• Organize lunch for Monday team meeting
• Add items as necessary to pending sheet
• Answer Sageland Center phone when Director of Operations not available and schedule meetings to Sageland Center
PHASE 2 (AFTER 1 MONTH):
• Records details on transaction blotter and check blotter (backup role)
• Assists with practice event execution and planning
• Schedule home office and circle of influence appointments and conference calls
PHASE 3 (AFTER 2 MONTHS):
• Monitors requirements for team members’ licensing and continuing education
• Manage office compliance requirements
• Schedule team activities throughout the year both for professional education and development and team culture (birthday lunch with MC, work anniversary celebrations, and team building)
• Training for new employees
• Executes business planning and event execution with team
• Prepare to recruit and train replacement as you move up in organization
• Update office manual regularly
• CSR WILL OVERSEE WHEN INTERN ON TEAM & PERFORM DUTIES WHEN INTERNLESS:
• Scans, saves, and shreds documents
• Clean and tidy Sageland Center
• Orders and stocks office supplies
• Waters plants, makes coffee, and load/unload dishwasher
Required Job Qualifications:
• Notary
