Job Responsibilities
Area of Responsibility
Key Elements and Essential Tasks
Time Spent on Task
Customer/Client Service
• Receive, inform and guide visitors including coordination with Client employees
• Coordinate and distribute refreshments
• Provide assistance in general administrative activities and any other duties as assigned by the Facilities Management team including travel requests & booking arrangements
Facility Services
• Maintain conference room booking schedules to maximize efficient use of space
• Coordinate conference room setups including food services
• Participate as a key team member in responses to emergency situations
• Set-up and operation of recording equipment, mixing boards, microphones, speakers, projectors, video screens and video monitors
• Handle minor repairs when needed
• Troubleshoot electrical breakdowns and conduct monthly checks of stock inventory to ensure that adequate quantity is available at all times
• Perform housekeeping on all facilities and their surrounding areas
• Provide general maintenance to the facility
• Handle conference room setups requested by the site occupants
• Daily set up of AV calls and room set up as well as assist in problem resolution
• Maintain register of all call outs and prepare incident reports
• Coordinate appropriate action for rectification including preliminary analysis of fault
• Maintain security access card record and assist in card issues
• Participate and ensure that our services and activities are in compliance with the contract
• Attend to critical work and complete closure within the specified time
• Any and all other duties and tasks assigned.
Knowledge, Skills & Abilities
MINIMUM REQUIRED
PREFERRED
Education/training
• High School Diploma or GED
• Bachelor’s degree
Years of relevant experience
• 1-3 years relevant experience
Skills and knowledge
• Sound written and oral communication skills.
• Ability to manage multiple operational matters on a daily basis.
• Working knowledge of OH&S and BCA Regulations.
Physical work requirements and work conditions
• Must be able to adequately perform required job functions. This includes being able to lift, bend and move in such a way as to perform job tasks in a safe and approved manner.
