Description
The Sales Support Executive Assistant (SSEA) will act as a key point of organization for the US and Canada. Specific job functions include interfacing with internal and external resources to ensure maintain the rhythm of business meetings that drive the organization. The SSEA will also manage organization-wide sales presentations and event management. Vendor, agent, and customer interaction to facilitate requests will be as needed.
Primary Responsibilities
• Providing quality administrative support for the Head of US and Canada and sales team by assisting them with travel arrangements; processing expense reports; pulling, coordinating, updating and processing monthly reports; assisting field reps with business reviews; tracking PTO, on-boarding new employees; maintaining contact lists, territory maps,; assisting with MAP processes and timing; working with Sales Representatives by assisting them with to help improve productivity; and providing timely, quality, general support and project management as needed and directed
• Manages activities ensuring that business solutions are delivered on time, within budget, and meet corporate standards. Escalates issues quickly and appropriately to appropriate designee
• Creates, revises and maintains project and resource plans, as well as schedules and budgets required to meet project requirements.
• Manage sales meetings, association tradeshows; and other vendor/management meetings ensuring a quality, timely and cost-effective outcome.
• Serves as Runzheimer Program Administrator by managing and overseeing the Company’s Vehicle Reimbursement Program Policy; by managing the vendor relationship, and providing program oversight and review on an annual basis; by reviewing and approving driver reimbursement on monthly calculated fixed and variable reimbursement reports, providing management summary and exception reports, approving driver reimbursement disbursement payments, monitoring driver usage and adoption of program policy standards; managing new user program set-up and termed user releases.
• Establishes and maintains a strong partnership with internal customers to fully understand the business and their business needs. Evaluates and makes recommendations to improve organizational effectiveness and customer service, reduce costs and provide a competitive advantage.
Qualifications
Education:
• BA/BS degree or equivalent relevant experience
Experience:
• 3+ years of executive assistant experience
• Sales Support experience is preferred

• Proven project management skills
• Strong written and verbal communication skills
• Ability to gather and interpret customer/end-user requirements
• Ability to establish working relationships across business lines and external stakeholders
• Ability to manage change and priorities and coordinate/realign project resources as necessary
• Highly organized with a strong attention to detail
• Ability to handle multiple tasks simultaneously and effectively
• Ability to facilitate identification and resolution of project risks and issues
• Working knowledge of Microsoft Office, Project, Excel, PowerPoint, Access
• Ability to create ad-hoc reports/queries to support internal and external customers
