This position will be with AEGON Asset Management, the organization which oversees asset management for many of Transamerica's insurance and operating companies as well as third party clients. Position Overview: The position will support the Aegon Asset Management Records and Information Risk Management Team to ensure records are effectively managed, retained and destroyed in compliance with records retention policies and schedules, to provide protection of assets while minimizing associated risks and costs. Responsible for supporting information risk controls across all asset classes within the Aegon Asset Management division. Understands the flow of information and applies knowledge to troubleshoot problems.
Responsibilities:
• Perform a variety of standard duties to ensure the integrity of complex records within the Aegon Asset Management division;
• Maintain and preserve records in accordance with the Record Retention Policy and Investment Management Agreements;
• Understand business records and information across the divisional asset classes to effectively preserve records according to asset specific guidelines;
• Interact with departmental staff and answer queries by researching and/or retrieving files;
• Process and scan files to electronic management system;
• Interpret and categorize documents to determine appropriate filing or metadata assigned to electronic records;
• Verify indexing to ensure integrity of the metadata associated with the scanned documents;
• Maintain physical files, track original document locations in system;
• Assist in transfer of physical files to offsite storage facilities;
• Prepare offsite file storage information sheets accurately;
• Verify new mortgage loan electronic files are complete for use in compliance reviews and audits;
• Assist in the onboarding process for new records from clients or servicing transfers, including records identification and mapping records types, as needed;
• Perform record retention annual document destruction activities and program;
• Ensure legal holds are applied and released pursuant to legal hold notices;
• Assist with special projects on an as needed basis.
Required Qualifications:
• Strong attention to detail and accuracy;
• Effectively communicate orally and in writing;
• Strong organizational, administrative and time management skills;
• Customer focus with the ability to meet deadlines;
• Work effectively individually and within a team.
Preferred Qualifications:
• One or two years of related work experience in Records Management industry;
• Knowledge of automated records management systems a plus;
• Familiarity with real estate or mortgage loan documents;
• Intermediate Microsoft Excel skills.
Job and compensation levels depend upon an applicant’s qualifications including the extent of his/her relevant experience and other job related factors and will be determined by hiring supervisors/managers and HR.
