The position of Lockbox Supervisor assists the Lockbox Manager in the overall supervision of the Lockbox department to include processing of incoming/outgoing mail, transport pc, quality control, etc. Schedules staff according to mail volume; works with Lockbox Leads and Managers to resolve problems and/or implement changes.
Additional duties include responsibility for the function of producing images, reports and files as requested and the system environments; ensuring that work received both internally and externally is processed on a timely basis; guiding staff in researching issues; resolving operational issues that arise regarding equipment failure, initiating process improvements; performing personnel actions under the direction of his/her immediate supervisor; developing work schedules within its functions; writing/maintaining documentation for all procedures within the function as well as the development of training for employees; maintaining accurate filing of all HOA/Provider/Patient Inquiry forms for further access concerns. Supports all affiliates for Lockbox processing.
Assures compliance with all Bank policies and procedures, as well as, all applicable state and federal banking regulations
Responsibilities
• Oversees day-to-day operations to ensure daily deadlines are met by effectively monitoring workflow and reallocating resources as necessary.
• Ensures proof work is delivered on time throughout the day.
• Sees that all new employees are successfully trained in their areas and satisfies all CBT courses.
• Follows up and resolves any accuracy issues and reports resolution to shift manager.
• Supports manager in achieving production and accuracy objectives and providing back up for all functions.
• Informs shift manager and/or department manager of employee issues relating to quality, productivity, and any other appropriate issues.
• Reviews processing errors with team members and develops/monitors coaching plans for improvement.
• Escalates issues appropriately to shift manager and/or department manager as appropriate.
• Assists with the various personnel actions including performance appraisals, disciplinary actions.
• Iinterviewing candidates for employment; supervises the activities of employees including, but not limited to, effective delegation of assignments, developing work schedules and providing necessary training.
Qualifications
• High school diploma or general education degree (GED)
• Three (3) or more years of related experience and/or training; or the equivalent combination of education and experience. Work related experience should consist of a financial operations and/or lockbox. Educational experience, through in-house training sessions, formal school or financial industry related curriculum, should be business or financial industry related
• Previous experience in assisting with supervision for large groups of employees (12+)
• Intermediate to advanced experience in computer terminal and PC operation, ten key by touch at minimum 12,000 + keystrokes per minute.
• Intermediate skills in personal computer, mainframe computer system, word processing, spreadsheet and specialty software (e.g. Microsoft Word, Excel, etc.) programs
