As an Administrative Assistant, you will be the right hand person supporting executives in our Investment Management line of business with all administrative responsibilities. These responsibilities include, but are not limited to:
• Managing complex calendars and meeting schedules
• Maintaining client database and transcribing notes
• Arranging travel and lodging accommodations though the Firm’s designated travel consultants
• Obtaining expense receipts and preparation expense reports in Concur
• Sorting and distributing mail, faxes, make copies, filing, gathering and arranging materials and relevant information for supervisor or assigned project
• Assembling PowerPoint presentations.
• Answering phone calls, responding to inquiries, taking accurate messages and directing callers to appropriate parties.
• Ensuring no call or communication goes unaddressed. Making sure all client facing work is delivered in a timely, high quality manner.
• Proactively managing the administrative processes tied to the day to day management of the office to find ways of improving efficiencies within the office.
• Assisting team members with day to day activities when needed/ providing backup.
In this role, you will interact with internal colleagues and senior management, both within and outside of the Investment Management department - as such, a strong client-service orientation, professionalism and poise are essential. To be successful in this role, you will need excellent organizational skills, strong time management skills, and the ability to anticipate issues before they arise.
Qualifications:
• Bachelors Degree (BS/BA) preferred, but not mandatory
• 3+ years of administrative experience
• Proficiency in Microsoft Office Suite, specifically Microsoft Word, Excel and PowerPoint
• Ability to multi-task, meet deadlines, and work under pressure
• Ability to work in a team environment
• Ability to learn quickly
