Summary
This is a part time (20 hours per week) position. This provides administrative support to field leaders (Directors) or to other functions/staff within the Regional Financial Office (RFO).
Responsibilities
Provides administrative support to one or more field leaders. Handles incoming calls, e-mails and responds to information requests. May also help manage Outlook calendar for field leaders. Coordinates meetings and conferences with internal staff and external resources, which may include preparing materials for those meetings and doing basic event planning. Collects information from files or staff for routine inquiries and reports; may analyze data and prepare scheduled reports of data. Prepares expense reports for directors. Helps track budget for directors to ensure spend is in budget. Acts as point person in one of the regional offices to ensure office runs smoothly. Assists directors in reaching goals which may include calling centers of influence to schedule appointments, working online sites to identify COI and FR candidates, sending and monitoring Career Profiles, working with FRs to schedule joint field work appointments with the director and prospective members.
Qualifications
3+ years of administrative/secretarial experience required; two year vocational/business school degree desired. Good organizational skills, attention to detail, ability to juggle different tasks and understand how to prioritize. Must be able to think proactively and anticipate needs of field leaders in order to help them be more efficient and succeed. Must be proficient in Microsoft Office tools (Word, Excel, Outlook). Must also be willing/able to learn Salesforce. Must be personable, possess good phone skills, and have familiarity with navigating social media.
