Job Purpose:
The Administrative Specialist is responsible for providing receptionist and general administrative support to the office, with particular focus on supporting the Legal department.
Responsibilities
Responsible for greeting visitors and providing assistance as needed, including issuing access badges, arranging transportation, preparing visitor offices, maintaining visitor logs
Handle telephone communications and other front desk and general office/clerical activities
Prepare correspondence and reports as required
Coordinate meetings and events, including onsite and offsite team and company meetings
Provide back-up support to other members of the Administrative team as needed
Assist employees with general questions and requests
Monitor shared Legal Department electronic mailbox; track incoming and outgoing correspondence; notify appropriate parties as needed
Maintain Legal Department spreadsheets and other databases as directed by Legal Department members
Assure that contracts and related documents are properly organized and stored
Other duties as requested by Legal Department members or Senior Manager, Administration and Facilities
Qualifications
High School diploma required, College degree desired
1 to 3 years’ administrative experience in a professional environment
Experience providing administrative support in a corporate legal environment is preferred
Proficient in Microsoft Office suite including Word, Excel, Visio and PowerPoint
Capable of handling multiple requests with a sense of urgency, accuracy and professionalism
Excellent customer service and telephone skills
Strong verbal and written communication skills
Excellent time management and organizational skills
Team player with the ability to interact effectively with all parts of the organization
Ability to follow directions and adhere to departmental procedures and standards
Dependability and accountability
Ability to keep sensitive data confidential
Desire to work in a fast paced environment
