Job Description
Step into an instrumental role. Help conduct the smooth operation of a fast-paced—and friendly—private wealth office. Work as an employee of an independent advisor franchisee of Ameriprise Financial. Assist in daily business operations.
Assist financial advisors and staff in organizing and executing daily business operations and managing office work flow. The office assistant supports the daily operational needs of the practice—including meeting preparation, greeting clients, office administrative work. This position ties directly to the overall business plan of the practice and is crucial in effectively maintaining excellent client service.
This role provides administrative support by preparing for meetings, presentations, and client communications and will be responsible for greeting clients. This role is responsible for clients’ first impressions of the practice and involves responding to ad hoc requests, coordinating/tracking meeting preparation projects, and managing business-as-usual projects such as filing and coordinating meeting follow-up. Role may also include other duties assigned by advisor that occur in the process of normal business.
Responsibilities
Responsibilities and Time Allocation – Will change over time to meet the needs of the practice and can include other duties as assigned by the advisor; ability to grow into new roles.
Administrative/Business Management - 80%
• Prepare agendas and forms for appointments.
• Assign and delegate post-meeting work to other staff and track task completion.
• Manage office facilities and supplies.
• Supervise internship program and delegate administrative work to interns.
• Maintain files and records in accordance with the records retention policy. Perform other allowable duties as assigned by the financial advisor(s) and Operations Manager.
Client Care - 20%
• Greet clients upon arrival and extend hospitality to clients.
• Maintain client management system.
• Write notes/letters to clients to clients of administrative nature and administer client appreciation.
• Update client information as directed/needed for client review meetings.
Required Qualifications

• Effective communication with clients and other advisors/staff.
• Effective and efficient time management.
• Ability to multi-task.
• Ability to adhere to rules and regulations as stated and required by advisor and Ameriprise.
• Ability to support and provide guidance for compliance within the advisor’s practice.
• Positive attitude and sincere willingness to constantly learn and grow.
Education and Other Designations:
• College degree or higher.
• Preferred, but not required: Already have or be able to study for and pass exams for federal and state licenses and registrations for securities, including: Series 7, Series 66, and State life, accident and health insurance licenses.
