Job Description
The Executive Assistant’s primary responsibility is to provide administrative support to the Developing Markets Team Portfolio Manager. Duties also include, but are not limited to, meeting planning, compilation and distribution of materials for various meetings, drafting of memos and reports, filing and maintaining departmental contact & distribution lists, managing calendars, maintaining heavy travel schedules, preparing expenses, etc.
Principal Responsibilities:
• Meeting organization including, but not limited to, agenda development, scheduling meetings and venues (incl. food & beverage) coordinating mailings, etc.
• Heavy calendar management
• Managing Logistics- procuring visas, booking flights, car transfers, hotels etc.
• Approve expenses, code invoices, and manage budgets and expense analysis
• Organizing key documents, including records of meeting notes, monthly reporting books, etc.
• All other duties as assigned
Qualifications
• 5+ years of executive assistance experience
• Must be able to deal with multiple concurrent tasks in an environment of rapidly changing priorities
• Must be able to work independently
• Excellent organization, time management, and interpersonal skills
• Positive independent judgment and initiative
• Ability to communicate in clear language both verbally & in writing.
• Positive attitude and professional demeanor
• Ability to interact with internal and external executives
• Ability to handle confidential matters with discretion
• Ability to prioritize and multi-task
• Ability to remain calm and flexible with respect to deadlines
• Excellent knowledge of memo writing, Outlook, Microsoft Word, Excel and PowerPoint
• Mutual Funds and or finance background a plus
